Maintain Course Annual Load - CRSF12C0

Purpose

To enable the recording of standard annual load for each year of a course where the standard annual load is variable. Where the standard annual load is constant, this can be entered as a single value in the Maintain Basic Course Details form.

Course Version

Explanation

The Course Version block displays course details from CRSF1210. The displayed records in the Course Annual Load block, are the annual load data for that context record.

Example

If course version A300 - Bachelor of Arts, version x is selected, then this form will display A300 - Bachelor of Arts and any existing annual load records relating to this course version will be displayed.

To inquire on the annual load of a course version other than that initially displayed:

This block does not permit a query to be entered. It is necessary to:

  1. Return to the Maintain Basic Course Details form.
  2. Select the course version for which standard annual load records are required.
  3. Select the navigation button for Other Course Detail.
  4. Select the navigation button for standard annual load.

 

Course Annual Load

Explanation

This form is used by institutions which have a variable annual credit point load for a full time year of study. Institutions which operate with standard annual loads use the Maintain Basic Course Details form to record credit point load. Where the annual credit point load varies, an EFTSU calculation is used to derive a student's attendance type.

Example

Where the annual credit point load for a full time year of study varies between years within a course, annual credit point values must be entered for each year of the course version. E.g. year 1 = 96 credit points, year 2 = 108 credit points, year 3 = 96 credit points.

To record the annual load for a particular year of a course version using the Maintain Course Annual Load form:

  1. Enter Insert Mode.
  2. Enter a meaningful description for the year in the Year Description field. (e.g. YEAR1, FIRST YEAR etc.)
  3. Enter the date from which the annual load figure will be applicable, in the Effective Start Date field.
  4. Enter the last date on which the annual load figure will apply, in the Effective End Date field. (optional for the first occurrence of a year description only)
  5. Enter the annual load value applicable to the year description, in the Annual Load Value field.

Rules:

  • If the annual load is constant for each year of a course version, this form should not be used.
  • For constant annual loads use the Maintain Basic Course Details form.
  • Annual loads entered in this form will override a standard annual load entered in the Maintain Basic Course Details form.
  • A year for the purpose of course annual load can be any 12 month period which constitutes a study year for the particular course. e.g. 1/6/96 to 31/5/97 could be one such period.
  • An annual load can be entered with a start date and no end date. This permits the recording of annual loads which may be applicable for many years.
  • Annual loads with the same description can be entered but only one of these can exist without an effective end date.
  • Annual load cannot be altered once the Course Version has been made INACTIVE.

To delete an annual load record from a course version using the Maintain Course Annual Load form:

  1. Find the record to be deleted.
  2. Locate the cursor in the record to be deleted.
  3. Delete record.
  4. Save.

Rules:

  • Unless the annual load record was entered in error, it is advisable to end date the record and create a new record.
  • To delete an annual load record, any associated course annual load records must first be deleted and saved.

To modify the annual load for a particular year of a course version using the Maintain Course Annual Load form:

  1. Find the record to be modified.
  2. Modify the record as required.
  3. Save.

Rules:

  • Unless the annual load record was entered in error, it is advisable to end date the record and create a new record.

Course Annual Load Unit Link

Explanation

Unit versions may be linked to course annual loads for the purpose of calculating their EFTSU. In particular, a unit version may be linked to the load for a particular year of a course.

Example

 

To link a unit version to a course annual load using the Maintain Course Annual Load form:

  1. Select the course annual load record (in the Course Annual Load block) to which a unit is to be linked.
  2. In the Course Annual Load Unit Link block, select the unit version to be linked to the annual load from the list of values (or enter a valid value) in the Unit Code field.
  3. Save.

Rules:

  • A link cannot be made to a unit version which has been made INACTIVE.
  • Unit links cannot be altered once the Course Version has been made INACTIVE.

To delete the link between a unit version and a course annual load using the Maintain Course Annual Load form:

  1. Ensure that the correct course annual load record is selected.
  2. Select the unit version record to be deleted.
  3. Delete Record.
  4. Save.
