Course Group

Explanation
This form is used to maintain the set of institution defined course groups. Courses may be gathered into ad-hoc groups for specific purposes. Each course group is identified by a unique code. Every course group must be assigned a group type which identifies the purpose of the grouping and, through the associated system group type, may enable other functionality. Within the Course Group block, provision is made to record the organisational unit which is responsible for any action resulting from functionality invoked.
Example


To create a new course group using the Maintain Course Groups form:
  1. Navigate to the Course Group block.
  2. Enter Insert Mode.
  3. Enter the desired name of the course group in the Course Group Code field of a blank record.
  4. Enter a meaningful description for the course group in the Description field.
  5. Select the appropriate course group type from the list of values (or key a valid value) in the Group Type field.
  6. Select the appropriate responsible organisational unit from the list of values (or key a valid value) in the Responsible OU field. (optional)
  7. Save.
Rules:
  • A course group cannot be added against a CLOSED course group type.
  • A course group cannot be added against a CLOSED organisational unit.
To delete a course group using the Maintain Course Groups form:
  1. Navigate to the Course Group block.
  2. Find the record to be deleted.
  3. Locate the cursor in the record to be deleted.
  4. Delete record.
  5. Save.
Rules:
  • If a course group has any members assigned to it, it cannot be deleted. It can be closed, preventing any further use, by selecting the Closed check box.
To modify a course group using the Maintain Course Groups form:
  1. Navigate to the Course Group block.
  2. Find the record to be modified.
  3. Modify the record as required.
  4. Save.
Rules:
  • If a course group has any members, only the description can be modified. This is not recommended unless the change in description is minor and does not affect the meaning of the course group.
  • A course group can be closed, preventing any further use, by selecting the Closed check box.

Course Group Member

Explanation
This block is used to assign course versions to membership of the course group selected in the Course Group block. The course versions displayed in this block are existing members of the course group selected above. Courses assigned to a course group will be subject to any functionality applied to the group and may be identified, in any inquiry or report by course group, as a member of the course group.
Example


To create a new course group member of a course group using the Maintain Course Groups form:
  1. In the Course Group block, select the course group to which the new member will be added.
  2. Navigate to the Course Group Member block.
  3. Enter Insert Mode.
  4. Select the appropriate course version from the list of values in the Course Code field.
  5. Save.
To delete a course group member from a course group using the Maintain Course Group Types form:
  1. Navigate to the Course Group Member block.
  2. Find the record to be deleted.
  3. Locate the cursor in the record to be deleted.
  4. Delete record.
  5. Save.

Changes within this form will have the following notable effects:
  • Adding a course to membership of a course group will cause the course to be selected during inquiry or reporting by course group.
  • Adding a course to membership of a course group will cause functionality applied to the course group to be applied to the course.
  • Removing a course from membership of a course group will cause any functionality, reporting or inquiry at a course group level to no longer apply to the course.
