Purpose

Where changes have been made to default unit assessment items or unit assessment patterns, the process:

  • attaches new unit assessment item and new unit assessment patterns to students enrolled in the unit
  • deletes logically deleted unit assessment items and unit assessment patterns from students enrolled in the unit
  • attaches or deletes unit assessment items and unit assessment patterns from students (where applicable) when the location, mode or class of the unit assessment items or unit assessment pattern has changed

An exception report lists those records it is unable to process, providing details of the student unit attempt and the attempted action.

Update Process

The process automatically updates the default unit assessment items and unit assessment patterns associated with a student where unit assessment items and unit assessment patterns have changed. In particular:

  • where a new assessment item or new unit assessment pattern has been associated with a unit offering pattern, the assessment item or pattern is attached to students enrolled in the unit.
  • where an assessment item or assessment pattern has been logically deleted from a unit offering pattern, the assessment item or pattern is logically deleted from students enrolled in the unit.
  • where any of a unit assessment item's or unit assessment pattern's offering option details (location, mode, class) are changed, the assessment item or pattern is:
    • added to students enrolled in the equivalent offering option to that newly defined for the assessment item or pattern and
    • deleted from students who had previously been assigned the assessment item or pattern but are enrolled in a different offering option to the one newly defined for the assessment item or assessment pattern.

 

Run Details

This job is run:

  • at intervals during an enrolment period (for bulk processing)
  • prior to assignment cover sheets being printed (if required, to ensure that all changes have been included)
  • at any time deemed necessary for whatever reason

 

Job Parameters

Job parameters are used to:

  • Limit the set of students to which the process is applied. For example, the process can be run for students in a particular teaching period or in a particular unit.
  • Control specific actions:
    • Report Level - allows the user to select the information displayed in the exception report.
    • Previous Log Date - entering a date on which this report was run previously causes all other parameters to be ignored. No processing takes place, but instead the exception report for the previous run date is reproduced.

The Exceptions Report

 

The exceptions report provides details of the unit attempt assessment item and assessment patterns for which the update of student records failed, and the action being attempted at the time.

  • Records which could not be processed because the record was locked by another process. In this case the job should be re-run. Most locks are of short duration and will not be present when the job is re-run. Persistent locks may result from 'detached processes' and must be investigated by your Database Administrator.
