STAF1360 - Maintain Government Admission Snapshot Control

Purpose To allow institutions to configure the Submission Snapshot Control parameters and Admission calendars that will be used in the Government Admissions Statistics Snapshot process.

This function is used to create the parameters that control the Government Admissions Statistics Snapshot process (STAJ0500).

The Government introduced the concept of a Reporting Period for this data collection. The Reporting Period corresponds to the due date for each submission. There are four reporting periods that correspond to each November, March, April and June due date. This function includes the ability to capture the Reporting Periods for a given Submission Year. (For more information, see the Submission Period information under 'Rules and Notes' below.)

Admission Calendars will be defined for each submission snapshot control record. These Admissions Calendars control the data that will be reported in the Government Admission Statistics Snapshot process (STAJ0500).

 

The Government Admissions Snapshot Control block contains:

  • Submission Year
  • Submission Period (pop list)
  • Number
  • Reference Date
  • Completion Date
  • Comments (optional)

The Government Admissions Calendar block contains:

  • Calendar Type (LOV)
  • Start Date (display only)
  • End Date (display only)
  • Description (display only)

Rules/Notes:

The Submission Year, Submission Period, Submission Number and Reference Date fields are mandatory.

The Submission Year field defines the reporting year for which the snapshot will be taken.

The Submission Period field defines the submission period for the Submission year. This can only be 1, 2, 3 or 4. Currently there are four reporting periods defined by the Government in the Higher Education Data Collections Collection and Timing Matrix, roughly defined as November (preliminary), March, April and June. These are defined as periods 1, 2, 3 and 4 respectively.

In the Number field, enter the submission number. It is possible to make multiple submissions to the Government for the same reporting period.

The Reference date field defines the Reference date or the date for which the data is considered effective.

The Completion Date is the date on which the Government submission was completed.

The Comments field is used for an Additional information about the submission record.

The Calendar Type is the calendar type of the admission period.

Validations include:

  • Deleting the completion date causes data related to the submission to be treated by subsequent processing as though it has not been reported.
  • You cannot insert/delete an Admission Calendar record once the Submission Snapshot Control completion date is set.
