SECF0061 - Maintain Menus and Menu Items

This form controls the content of menus and the order in which menu items are displayed. Menus may contain Sub menus, Forms, Jobs (including Reports), ADF pages and Staff Connect applications.

Callista's menus are used to navigate through the System and are easily configured for content and appearance. Menus can be tailored to suit the requirements of the institution's business practices and individual roles.
e.g.
If a new administrative position is created, having overlapping responsibilities in the areas of enrolments and fees, it is easy to create a menu structure specifically for occupants of this new position, containing only those System elements (Forms, etc.) necessary to perform the new function. This new menu structure would most likely be granted to a new role which in its turn would be granted to occupants of the position.

A Menu Item is a Sub Menu, Form, Job or Web Resource displayed on a menu. (Web Pages should not be selected). These can be recorded for the context menu, enabling their display in that menu. It is possible to build composite menus comprised of a mix of Submenus and other elements.

This form is accessed from the main menu.

The Menu Code block contains:

  • Menu Code
  • Title

The Menu Item block contains:

  • Menu Seq
  • Sub Menu Code
  • Form
  • Job
  • Web Page
  • Web Resource

To create a new menu using this form:

  • Enter Insert mode.
  • In a blank record, enter the name of the new menu in the Menu Code field.
  • Enter a meaningful description of the menu in the Title field.
  • Save. At this point the menu contains no items. See Adding Menu Item (below) for further instructions.

Rules/Notes:

For a menu, sub-menu and/or menu item to be accessible to a system user, the user's Security Role must have had the required menu/page privileges granted to the Role in SECF0063.

To delete a menu using this form:

  • Select the menu to be deleted.
  • Delete Record.
  • Save.
Rules/Notes:

A menu cannot be deleted until all associated Sub menus, Forms, etc. are deleted.

To add a menu item to a menu using this form:

  • Select the menu to which items are to be added in the Menu Code block.
  • Navigate to the Menu Item block.
  • In a blank record, enter a number signifying the position within the sequence of menu items that you wish to display the item. Stagger the Menu Seq values to allow for the addition of items without having to renumber existing ones.
  • Select either a Sub Menu, Form, Job or Web Resource value for the item to appear in Callista Forms menus,
    or
    Select a Sub Menu or Web Resource value for ADF menus
    .
  • Save.
Rules/Notes:

Important: The order (Menu Seq number) assigned to menu items is the order in which the items will appear in the menu.

Only Forms specified as Entry Point forms in the Maintain System Forms and Zooms form (SECF0060) can be added to menus.

Web Resources are defined in SECF0081 and may be Forms, Jobs, ADF pages or Staff Connect applications. Only Web Resources with the Menu Access indicator selected in the System Web Resource form (SECF0081) can be added to menus.

Sub menus which contain Web Resources will appear in the ADF menu.
Sub menus which contain Jobs or Reports will appear in the Callista Webforms menu.

Each row row in the Menu Item block can only contain one of Sub Menu Code, Form, Job or Web Resource. Web Pages should not be selected as menu items - the corresponding Web Resource values should be selected.

A menu item should only appear once on any particular menu.

A menu cannot be a sub-menu of itself.

Where a menu structure is changed, the menu structure must be granted and the object grants reconciled for a User's role, in order for the changed menu and items to be displayed.

To remove a menu item from a menu using this form:

  • Select the menu item to be removed.
  • Delete Record.
  • Save.
