SCHF0550 - Maintain Scholarship Eligibility and Response Option

Purpose

This form allows an administrator to create Eligibility Criteria/Questions and valid responses for use in the Scholarship Application process.

This form allows an administrator to create Eligibility Criteria and valid responses for use in the Scholarship Application process. 

This form can be accessed directly via the Callista menu.

Eligibility Criteria created in this form will become available for selection for Scholarship Offering Instances in SCHF0510.

They may also be incorporated into the online Scholarship Application process, available via Applicant Portal. See Scholarships in Applicant Portal.

 

The Scholarship Application Eligibility Criteria block contains:

  • Eligibility Criteria Code
  • Description
  • System Response Type
  • Selection Type
  • System Criterion Type
  • Display Order
  • Closed checkbox
  • Display in Applicant Portal check box:
  • Multi-select check box (available for eligibility criteria with a System Response Type of LIST)
  • Question text box

Rules/Notes:

System Response Types available are LIST or FREETEXT.
Selection Types available are PRE and POST.

Scholarship Application Eligibility Criteria cannot be created with a closed System Response Type.

The System Response Type must be LIST when the Selection Type is PRE.

The Selection Type value for an Eligibility Criteria record cannot be changed if the Eligibility Criteria Code has been selected for a Scholarship Offering instance.

No Change is allowed to the Criteria Selection Type, for which Eligibility Criteria Response Options records exist.

The Display Order field is used to determine in which order to display the eligibility questions.

A Multi-Select checkbox indicates to the system that more than one response may be selected for these criteria.

If the Display in Applicant Portal check box is not selected, then Multi Select check box must also not be selected.

The Question Text box is an optional field.

The Eligibility Criteria Response Options block contains:

  • Description
  • Response Option
  • Display Order
  • Min Value* (see Rules/Notes)
  • Max Value* (see Rules/Notes)
  • Application Value** (see Rules/Notes)
  • Free Text check box (only displayed when the System Response Type is LIST)

Rules/Notes:

Eligibility Criteria Response Options can only be created for a Response Type of LIST.

Several Response Options may be recorded for a Eligibility Criteria with a System Response Type of LIST. 

Eligibility Criteria Response Options cannot be created or updated for closed Scholarship Application Eligibility Criteria records.

The Response Option is optional and is used to populate the Explanation field displayed in Student Connect. The display order determines the sequence of items in the display and must not be left blank.

The Display Order field is used to determine the order in which to display the Response Options.

Response options for Eligibility Criteria with a System Response Type of LIST display a Free Text check box. This indicates to the system that a free text field is required to be updated by the applicant or administrator when this option is selected

* If the System Criterion Type is AGE or POSTCODE, then the Min Value and Max Value fields are also displayed. Max Value for a record must be greater than or equal to the the Min Value. Min-Max ranges must not overlap and must be contiguous (i.e.no gaps between ranges). Also, either minimum or maximum values can be left blank, which will mean there is no minimum or no maximum.

**If the System Criterion Type is CITIZENSHIP, then the Application Value field is displayed and Citizenship values recorded in ADMF0285 are available for selection. A particular Application Value cannot be used more than once for an Eligibility Criteria Code record.

**If the System Criterion Type is SEX, then the Application Value field is displayed and system SEX values recorded are available for selection. A particular Application Value cannot be used more than once for an Eligibility Criteria Code record.

The System Criterion Types, and their mapped values, are defined as follows:
AGE - derived from the BIRTH_DT column of the AP_APPLICANT table.
CITIZENSHP - sourced from the CITIZENSHIP_TYPE column of the AP_APPLICANT table.
SEX - sourced from the SEX column of the AP_APPLICANT table.
POSTCODE - sourced from the POSTCODE column of the AP_APPLICANT table.
USER-DEF - A value not sourced from existing data.

The create new Eligibility Criteria and Response Options:

  • Go to SCHF0550
  • Enter Eligibility Criteria Code and Description
  • Select Response Type, Selection Type, System Criterion Type and Display Order
  • Select the Display in Applicant portaland/or Multi-Select check box if appropriate
  • Enter the question relating to this Criterion
  • Save
  • If the System Response Type is List, Response Options may be recorded in the Eligibility Criteria Response Options block as required
  • Save.
