PRGF2100 - Maintain System Progression Configuration

Purpose

To configure the system-wide defaults for the Progression subsystem.

SubSystem

Progression

Normally Run By Administration Specialist
Anticipated Frequency As required
Structure  Block System Progression Calendar Configuration
Tab   System Progression Calendars overlay

The Progression subsystem must be configured at a system-wide level. This configuration establishes the default Progression Parameters for the whole institution. This form is used to create and maintain these system configuration parameters.

In the Progression subsystem, there are critical dates that must be specified, to establish the default Progression Application Cycle (applying to the whole institution unless overridden). System flexibility allows institutions to define the names for these Date Aliases. This form requires the recording of the institution-defined Date Aliases against the system date names, to enable their recognition by Callista. The definition of Date Aliases and allocation to them of actual values (the creation of Date Alias Instances), are recorded using the Calendar subsystem.

It is also critical that the Calendar Types applicable at the system level are specified. This is done in the overlay screen. Progression Rules within a Calendar are only considered where system (or override) configuration recognises that Progression Calendar Type as a Progression Period in the system.

Other parameters controlling the application of Progression Rules and the options available after failure of a Progression Rule (for example the availability of an appeal period and whether resulting Progression Outcomes can be applied before or after this appeal) are also established, at a system-wide level, in this form.

This system-wide configuration can be overridden for specified Organisational Units (PRGF2300) or specified Course Versions (PRGF2200). This multi-level configuration is described in more detail in the Configuration topic in Specialist Functions.

A Date Alias must be selected for each of the six System Date Parameters:

Select the required Outcome Check Type. The Check Type is used when Progression Rules are applied (after all Student Unit Attempt results for the course are finalised) to determine if a Student Course Attempt (SCA) is ready to be evaluated. For example, if the Outcome Check Type is set to MISSING, a SCA can be evaluated when any of the units being considered do not have a result recorded.

Show Cause and Appeal Parameters:

Setting the Show Cause or Appeal check box is optional. They must be selected at this system level, where a Show Cause and/or Appeal Period is to be available at the institution, at any other level.

The Show Cause/Appeal Cut Off Date Alias specifies the date by which any Show Cause/Appeal Period must end.

The Apply Outcome Before check box define whether outcomes can be applied to a Student Course Attempt before the Show Cause/Appeal Period is completed.

The Apply Outcome Before Show Cause check box is not set by default. Set the check box where application of outcomes is to be allowed before the show cause period available to a student ends.

The Apply Outcome Before Appeal check box is set by default. Deselect the check box where outcomes are not to be applied before the appeal period ends.

The Show Cause/Appeal Length is specified in the Progression Calendars overlay screen.

Notes/Rules:

Once established, System Progression Configuration cannot be deleted. If required, edit the appropriate parameter or reconfigure the applicable Calendars.

Date Aliases for use in this form are created in CALF0420.

Outcome Check Type can be:

  • FINALISED - Progression Rules are applied to the student if all applicable Student Unit Attempts have finalised outcomes entered.
  • RECOMMEND - Progression Rules are applied to the student if all applicable Unit Attempts have either finalised or recommended Outcomes. Students with missing grades aren't considered.
  • MISSING - Rules are applied to the student even when grades are missing. Only the relevant Rule Types are applied.

Show Cause and Appeal check boxes must be set at this system level, to enable their configuration at either an Organisational Unit (PRGF2300) or Course Version Level (PRGF2200).

Show Cause and Appeal parameters can only be specified if the Show Cause/Appeal check box is selected.

Show Cause/Appeal Cut Off Date Alias must be specified if the Show Cause/Appeal check box is set.

Other Parameters:

The Count Suspension/Exclusion In Time check boxes should be set where any Suspension or Exclusion Period (outcomes resulting from failure of a Progression Rule) is to be included in the calculation of elapsed time. Completion Rules include measurement of the time taken by a student to complete a course. (Note this is planned future Completion Rule functionality). These parameters control the Inclusion/Exclusion of time on suspension or exclusion, in these calculations.

Calculate WAM/GPA check boxes:

Setting these check boxes allows the calculation, storage and display (on PRGF6600, ENRF3000, ENRR08M0 and INQF1200) of a Weighted Average Mark and/or Grade Point Average value, for all Student Course Attempts.

The calculation of these values is described in a Special Topic.

Notes/Rules:

Where the Calculate WAM/GPA check box is not set, it does not override the calculation of a WAM/GPA value as part of the evaluation of a Progression Rule, for a student. This evaluation returns a 'passed or failed the rule' result (and the GPA/WAM value as part of the message displayed where a rule is failed). The actual WAM/GPA value is only able to be stored if the check box is set.
Where the check box is set, a student's current WAM/GPA value can also be calculated at any time (and displayed on the screens that are able to display the value).

Progression Calendars Overlay:

The set of Progression Calendars which are to apply across the whole institution are specified in this overlay screen.

Select or enter the Progression Calendar Type and enter a Stream Number for this Calendar. A Stream Number represents a logical sequence of Progression Periods and is used in the derivation of Progression Outcome Expiry Dates.
For example, an institution creates three Progression Calendars, 2 to represent the Semester Time Periods and 1 to represent a whole year period. At this System Progression configuration level all three Calendars are selected. The Progression Calendars that represent Semesters are logically a different sequence from the Annual Calendar, so a Stream Number of 1 could be entered against both Semester Calendars, but the Annual Calendar Type would require a different Stream Number (e.g. 2).

Enter the Show Cause and Appeal Length values if applicable. The numeric value entered represents a number of days. (The actual End Date of a show cause or appeal period, for a student, is derived using the length and the cut off Date Alias Instance, when rules are applied and an outcome results.)

Notes/Rules:

Calendar Types for use in this form are created in CALF0220.

Only Calendar Types with a Calendar Category of PROGRESS can be entered.

A Stream Number must be entered against each Calendar Type.

The same Stream Number (allocated to a specific Calendar Type at any level in the configuration) must be allocated to that Calendar Type at all other configuration levels.

A warning displays if a Show Cause or Appeal Length value is allowed (as specified by the setting of the Show Cause/Appeal check boxes), but not entered.
