This job allows the user to select a group of units and create a Proposal for each one.

The Unit Co-ordinators are notified that the Proposal has been created and allocated to them. The user can indicate how the Unit Co-ordinators are identified and can also specify the Email Type to use in the Unit Co-ordinator notification, thereby configuring the message to be sent.

The user can also specify a Proposal Type for the Proposals that are created. This job can thereby support the annual curriculum cycle by using a Proposal Type focused on the Elements requiring review.

The Unit Proposals created will appear in the Unit Co-ordinator's Proposals page. The Unit Co-ordinators can then complete the Proposal or allocate it to another proposer via the Maintain Proposal pages.

When sending the proposals to the Unit Co-ordinator it is possible to specify a date by which a response is requested from the Unit Co-ordinator. The response date is taken from the Due Date parameter and is recorded as an Override Due Date for the Proposal.
The recording as the override trumps the normal due date derivation and may trigger the proposal type reminder and due date settings early in the event of inactivity. Normal due date restrictions will apply if the user fails to submit by the due date, i.e. the proposal can not be submitted after the due date has past unless the date is revised.

The user is allocated as an editor of the Proposals created by this bulk initiation process if they select the Include Job Initiator as Editor check box. They can also nominate a number of other persons to be Editors of the Proposals.

Rules/Notes:

Three Unit Codes may be entered - each in a separate field.

In the Unit Code LOV, each Unit code displays once along with the description for the highest version number.

Only unit statuses that are mapped to the system unit status ACTIVE are available in the Unit status LOV.

For the BAP LOV in the Initial Unit Version Selection area only BAP codes with a System BAP Code of UV are available.
For the BAP LOV in the Unit Offering Section only BAP codes with a System BAP Code of UO are available.
For the BAP LOV in the Unit Offering Section only BAP codes with a System BAP Code of UO are available.
For the BAP LOV in the Production Details Section only BAP codes with a System BAP Code of UV are available.

Only Locations with a Location Type that is mapped to a system location type of CAMPUS are available in the Location LOV.

Only Proposal Types that are mapped to the UNIT System Proposal Type and are not closed are available in the Proposal Type LOV.

Only Calendar Types with System Calendar Category of ACADEMIC and where the calendar instance End Date is in the future are available in the Effective Academic Period LOV.

Only Calendar Types with System Calendar Category of TEACHING and where the calendar instance End Date is in the future are available in the Effective Teaching Period LOV.

Unit Co-ordinator Source may be UNIT VERSION or BUSINESS ACTIVITY PROCESS or null.

Proposal Type, Effective Academic period, Effective Teaching Period and Unit Co-ordinator source are mandatory parameters,

Select the 'Include Offered Only' check box to only include units where a UOO is offered.

This job identifies all Unit Versions that meet the search parameters defined in the first two tabs.
For each Unit Version identified, it creates a proposal.

It then updates the proposal_instance record as follows:

If the Due Date parameter is not null, it sets the Override Due Date and Due Date to that value.
It sets the request_job_run_id, to the job’s request_job_run_id.
It inserts a record into proposal instance editor table for each editor listed in the Editor Details section of the Parameters and also the person that run the job if the Include Job Initiator as Editor check box is selected.
If the Production Details Unit Co-ordinator Source is a BAP person ID group and multiple person records exist, then it inserts all persons or person ID group members associated in the BAP person ID group for the context unit, that are not recorded as the proposer.
It creates Email Notification table records for each proposer based on the Email Type.
In the run log for this job, it records how many proposals are created successfully, and how many fail. This can be viewed in JBSF5301.
