Student Course Attempt block

This is the context block showing a particular Course Attempt for a student. When the form is entered via a button in another form, the student and attempt shown in this block are the ones selected there. With other access methods, enquiry on Course Attempts for any student can be made using this block. However, names are case sensitive and are best avoided as query criteria.

Students may be allowed or required to temporarily suspend their enrolment in a course. The block below allows for these Intermission Periods to be recorded and maintained against the Student Course Attempt displayed in this block.

For example, Person ID 970001 and Course A300, selected in ENRF3000, are shown in this block as part of the context information when this form is entered via the Intermission button in the Student Course Attempt screen of ENRF3000. No enquiry can be made on any other course for this student, or on any other student.

However, if the form is entered directly from a menu, this block can be used to enquire on the Course Attempts of any student.

Student Course Intermission block

This block is used to record and maintain details of Intermissions granted to a student for a particular Course Attempt. It allows for entry of a Start Date and entry (or selection from a list of values) of an End Date for an Intermission Period. The end of an Intermission is most likely to coincide with the start of an appropriate Teaching Period. The list of values for the Intermission End Date therefore allows selection from Teaching Period Start dates. A check box is used to record whether the Intermission is at the student's request. Any additional information can be recorded in the Comments area.

Certain rules cover the granting of Intermissions, either in general, or at Course Version level. Warning or error messages advise if these rules are breached. Relevant Enrolled Unit Attempts falling within the Intermission Period are discontinued subject to standard discontinuation criteria. The System prevents the addition of new Unit Attempts for the student if they fall within the Intermission Period. Note however, if the Census Date for the Teaching Period occurred during the period of Intermission, it is not possible to add new units to a student's Enrolment in that Teaching Period, even if the Intermission's End Date has passed.

An Intermission can be set up for a period in the future. The student's Course Attempt Status stays as ENROLLED until the Intermission Start Date, when it is set to INTERMIT. However, the Enrolled Unit Attempts which fall within the Intermission Period will be discontinued immediately. Pre-enrolled units remain with a status of unconfirmed.

For example, the student with ID 970001 has requested an Intermission from course A300, to start on 12/8/03. A logical time to resume the course is at the beginning of the first Semester in 2004.

The student's ID and Course Attempt is shown in the context block, and in this block 12/8/03 is recorded in the Start Date field. The relevant Teaching Period is selected from the list of values, and its Start Date becomes the End Date of the Intermission Period. Because the student has requested this Intermission, the Voluntary check box is checked/selected.

Students can create an Intermission application in Student Connect (DISINTAPPL). Intermission applications may also be created by authorised staff on behalf of a student in ENRW3400 where they are assessed and applied. Intermission applications created by students in Student Connect may be automatically processed or may be transferred to ENRW3400 for assessment - depending on how the institution has configured the process (for more information, see Discontinuation/Intermission Application Configuration).
If an Intermission application exists with a status of PENDING, a warning will display in this form (ENRF4160) if the user attempts to insert a new intermission or update the start and end dates of an intermission.

 

The Student Course Attempt block contains:

  • Person ID
  • Sex
  • Date Of Birth
  • Course Version

The Student Course Intermission block contains:

  • Start Date
  • End Date
  • Voluntary check box
  • Comments

Rules/Notes:

Any Enrolled Unit Attempts for a student are discontinued if they fall within the period of an Intermission of the relevant Course Attempt.

VET courses require Enrolment Start and End Dates or Teching Period Start and End Dates and not Census Date logic.

To inquire on a Student Course Attempt other than the one currently displayed, using the Maintain Student Course Intermission form:
  • Navigate to the Student Course Attempt block.
  • Enter Query mode.
  • Enter query details in the appropriate fields (normally student's ID in the Person ID field).
  • Execute the query.
  • Where the student has more than one Course Attempt: scroll through the records to find the one required.

Rules/Notes:

Inquiry cannot be performed if this form was invoked from ENRF3000. To perform a query on a different Course Attempt for a student, return to ENRF3000.

To create a new Student Course Intermission record using the Maintain Student Course Intermission form:
  • Enter Insert mode.
  • Enter the date when the Intermission is to start in the Start Date field of a blank record.
  • Either:
    enter the required End Date in the End Date field
    or
    from the list of values, select the Teaching Period when the student is due to resume the Course Attempt
    .
  • The Voluntary check box is selected by default. If the Intermission is not of the student's choosing, remove the check mark in this check box.
  • Optionally, enter additional information in the Comments area.
  • Save.

Rules/Notes:

Intermissions can only be recorded against confirmed Student Course Attempts.

The list of values used for End Date shows only planned or active Teaching Periods with Start Dates on or after the proposed Intermission Start Date.

Where a course does not normally allow Intermission, a warning is given if the proposed Intermission is at the student's request, rather than imposed by the institution.

There is a warning if the proposed Intermission exceeds the maximum duration allowed for a single Intermission within the Course Version.

Rules governing Intermission for a particular course version are recorded in the Maintain Basic Course Details form (CRSF1210).

To modify a Student Course Intermission record using the Maintain Student Course Intermission form:
  • Find the record to be modified.
  • Modify the record as required.
  • Save.

Rules/Notes:

Start Dates cannot be modified. See the rules for deletion, below.

End Dates can be altered to shorten or extend the Intermission Period.

To delete a Student Course Intermission record using the Maintain Student Course Intermission form:
  • Find the record to be deleted.
  • Locate the cursor in the record to be deleted.
  • Delete record.
  • Save.

Rules/Notes:

If the Start Date is on or before the current date, the record cannot be deleted. The End Date can be set to the Start Date, thereby negating its application to the student's record.

Intermissions with future dates can be deleted.

Where an Intermission in the future is deleted, any units affected will need to be re-instated by the user - this is not handled automatically by the system.
