To create and maintain Enrolment Category Procedure details and steps.

Enrolments

This form is used to specify the web element displayed for each enrolment step in the Callista Connect self enrolment application. Web elements are mapped to steps of the Enrolment Method Type 'WEB'. These elements are used to determine the appearance of the web enrolment menus. For example: the menu could consist of text links, or buttons or images.

• Different Process Type(s) - (for example: ENROLMENT or VARIATION).
• Different 'enrolment drivers' for Self Serve Application - (for example: ENR-STEPS).
• Different System Enrolment Step Status(es) - (for example: MANDATORY, COMPLETED, UNDEFINED).
• Different types of web element to be displayed - (for example: standard menu or navigation bar).

• OPTIONAL - used where the recording of data is not mandatory.
• MANDATORY - used where the enrolment step for the process type has the mandatory step indicator selected (from ENRF0192).
• COMPLETED - displayed where all data has been recorded for the step and the enrolment step completion date has been recorded (set in ENRF5F10 for the student).
• WAIVED - used where the step has been waived for the student course attempt in ENRF5F10.
• UNDEFINED - this is used for any statuses that have not had a web element defined for the enrolment step process type. See Undefined heading below for further details.
• DISABLED - Pre-requiste mandatory steps are NOT satisfied.
• NEXT - Next navigation representation.
• PREVIOUS - Previous navigation representation.

To correct this, a web element must be defined for each status that is to be displayed except the WAIVED and UNDEFINED statuses. For example, to prevent WAIVED steps from appearing but allow all other statuses to be displayed, a web element must be mapped against the OPTIONAL, MANDATORY, COMPLETED, DISABLED, NEXT and PREVIOUS statuses.

Rules/Notes:

The Process Type, Self-Serve Application and System Enrolment Step Status LOV cannot be updated for an existing record.

Two Enrolment Category Procedure Step Element records with the same Process Type - Self-Serve Application and System Enrolment Step Status - cannot exist even with different Web Element Codes.

The Process Type LOV is restricted to those for self-enrolment (ENROLMENT and VARIATION).

The Self-Serve Application LOV is restricted to those of System Self Serve delivery type 'WEB'.

Only Enrolment Category Procedure Step records with an Enrolment Method Type of 'WEB' appear within this form.

A warning is displayed when a record is saved and:

The Process Type ENROLMENT (lower block) has been selected and the Enrolment Step Type (upper block) has a Process Type Restriction of VARIATION set in ENRF0192.
The Process Type VARIATION (lower block) has been selected and the Enrolment Step Type (upper block) has a Process Type Restriction of ENROLMENT set in ENRF0192.

If the Mandatory Step and/or Mandatory Confirm checkbox is selected, the Pre-enrolment process (i.e. ENRJ3100 or ADMF3240) automatically sets the Completed Date to the current date for WEB enrolment steps.

However, for WEB Enrolment steps: STUDSTATUS, STUDY-RSN, UNIT-SETS and SUAAO-UPD, if both the Mandatory Step and Mandatory Confirm check boxes are selected, the Completion Date is not set.
If the Mandatory Step checkbox is checked (i.e. equals Y) and the Mandatory Confirm check box is not selected (i.e. equals N), the Completion Date is automatically set as follows:

• STUDSTATUS: The Completion Date is set only if a STUDENT COURSE HECS OPTION record exists.
• STUDY-RSN: The Completion Date is set if there is a non-null STUD-REASON-CD recorded in the SCA record.
• UNIT-SETS: The Completion Date is set if an associated active Student Unit Set Attempt record exists.
• SUAAO-UPD: The Completion Date is not set.

This form is normally entered in context of an Enrolment step from the Maintain Enrolment Category Procedure Detail form (ENRF0192). The form can also be accessed via a menu. In this method a query must be performed to retrieve Enrolment steps.

• In the lower block, select the Process Type for the step, ENROLMENT or VARIATION.
• Select the Self-Serve Application for the step.
• Select the System Enrolment Step Staus to be defined.
• Select the Web Element Code that will be displayed for the Enrolment Step Status. Correct Web elements are defined in the Web Administrator section of Connect.
