Purpose

To perform a bulk Rollover of Course Offering Patterns.

This process rolls Course Offering Patterns from one Academic Calendar Instance to another, for the whole institution or a specified Organisational Unit.

This job will create new Course Offering Patterns where all details of the existing Pattern (and associated user defined data) are duplicated for another Calendar Instance.

• Destination Calendar must exist and be 'ACTIVE'.
• Source Calendar Type must be the same as the Destination Calendar type ('ACADEMIC').
• The LOV only displays Calendars that are 'ACADEMIC' and 'ACTIVE'.
• If any individual Course Offering Patterns have already been rolled over to the same Destination Calendar (via CRSF1300) before this job is run, these remain and are not overwritten.
• Option to roll over data for expiry-dated Course Versions.
• Option to only roll over expiry-dated Course Versions where the EXPIRED Course Version has ‘currently enrolled’ students.
• Option to allow all new Course Offering Patterns related to all rolled Expired Course Versions to be set to ‘Y' when the Set Expired Course Version COP Entry Point Indicator is selected (set to 'Y').

Creation of a new Offering Pattern for an individual course via the Duplicate Record Above function using CRSF1210 - Maintain Basic Course Detail form and navigating to the Course Offering form (CRSF1300).

The Roll-Over Course Offering Patterns block contains:

Rules/Notes:

Include Expired Course Versions check box

The default value is ‘N’ (unchecked). Selecting ‘Y’ (checked), causes the rollover of any Expiry-dated Course Versions in the source Academic Calendar, in addition to the Course Versions that are currently rolled over.

Include Expired Course Versions with Enrolled Students check box

‘Currently enrolled’ students are defined as those with a System Course Attempt Status of ENROLLED, INACTIVE or INTERMIT. The default value is ‘N’ (unchecked). Selecting ‘Y’ (checked), causes the rollover of any Expiry-dated Course Versions in the source Academic Calendar that have ‘currently enrolled’ Student Course Attempts, in addition to the Course Versions that are currently rolled over.

Set Expired Course Version COP Entry Point Indicator check box

This enables institutions to set the Entry Point Indicator as required for Expired Course Versions. The setting of this indicator will only take affect if records for Expired Course Versions are rolled over.

Validations include:

• Either ‘Include Expired Course Versions’ or ‘Include Expired Course Versions with Enrolled Students’ can be set, but not both.

Job Parameters are used to:

• Select the Source Calendar from the LOV. This is the Calendar for the existing Course Offering Patterns.
• Select the Destination Calendar from the LOV. Course Offering Patterns will be rolled over to this Calendar.
• Optionally, select the Organisational Unit from the LOV. This is the Faculty, School or other institution defined Organisational Unit which offers courses. The default % symbol represents all Organisational Units.
• Optionally, select the check boxes as required.

Rules/Notes:

This job is run in batch mode through the Job Control & Scheduling Subsystem. It would commonly be run when Curriculum Offerings for a new Academic Year have been decided.
