CRSF11C0 - Maintain Reference Code Types

Purpose To enable the creation and maintenance of institution-defined Reference Code Types.

This form is used to record and maintain the set of institution defined Reference Code Types.

Each course or unit is uniquely identified by a Course Code or a Unit Code within Callista. Other Systems or organisations may use different codes to identify the same courses and units. The System permits these alternative codes to be recorded and maintained using the Maintain Course Reference Codes (CRSF1290) and Maintain Unit Reference Codes (CRSF2270) forms.

Reference Code Types are a means of classifying alternative Reference Codes according to like characteristics, such as their purpose, or the organisation which uses the alternative code. Every Reference Code Type must be assigned a System Reference Code Type which is recognised by the System for other functionality. Institution defined Reference Code Types provide flexibility by permitting subdivision of the System Reference Code Types and the use of institution specific names.

It is recommended that the System Reference Code Types also be used for the institution defined Reference Code Types unless the institution has a compelling reason to do otherwise.

The System Reference Code Types include the following:

  • IVR
    (for Interactive Voice Response) is a System used for telephone inquiries and data entry relating to course and unit enrolments, variations, results etc. Institution specific Reference Code Types such as PHONE, mapping to IVR, could be created using this function. For more information, also see CRSF1290.
  • CRSOFSTUDY
    is used specifically for statistical reporting to the Australian Government and identifies a type of Course Reference Code which can be attached (CRSF1290) to course versions which lead to an Undergraduate Award. Course versions with the same CRSOFSTUDY Course Reference Code are considered by the Government to be the same course, for certain aggregated statistics (refer to elements 393 and 394, reported in the Course file).
  • CRICOS
    is the type of the codes used in the Commonwealth Register of Institutions and Courses for Overseas Students. A CRICOS code should be recorded against any course which is offered to overseas students.
  • TAC-FEE
    identifies codes which a Tertiary Admissions Centre uses for tuition fee liable admissions to the institution's courses.
  • TAC-HECS
    identifies course codes which a Tertiary Admissions Centre uses for Commonwealth Supported Student admissions to the institution's courses.
  • RPT-CODE
    Represents an institution-defined code for VET FEE-HELP government reporting. Enables institutions to define an alternative code for VET courses to be reported to the Government for courses/units that are longer than 10 characters. (Note: VET units can have a code length of up to 20 characters in Callista, however, the Government only accepts a maximum code length of 10 characters for courses.)
  • QUAL
    Represents an institution-defined code for VET FEE-HELP. This code enables institutions to define an alternative code (for example, NTIS) that is used to report the VET Course Code.
  • DMS
    Document Management System
  • QTAC-FEE
    Identifies codes which Queensland Tertiary Admissions Centre uses for tuition fee liable admissions to the institution's courses.
  • QTAC-HECS
    QTAC HECS-liable course
  • TISC-FEE
    TISC fee-paying course
  • TISC-HECS
    TISC HECS-liable course
  • UAC-FEE
    UAC fee-paying course
  • UAC-HECS
    UAC HECS-liable course
  • UOC
    Unit of Competency
  • VTAC-FEE
    VTAC fee-paying course
  • VTAC-HECS
    VTAC HECS-liable course
  • ASSOC-CRS
    Associated Course Identifier
  • USER-DEF
    Local reference code for user definition

 

The Reference Code Type block contains:

  • Reference Code Type
  • Description
  • System Reference Code Type
  • Closed check box

 

 

To create a new Reference Code Type using the Maintain Reference Code Types form:

  • Enter Insert Mode.
  • Enter the desired name (or code) of the Reference Code Type in the Reference Code Type field of a blank record.
  • Enter a meaningful description for the Reference Code Type in the Description field.
  • Select the appropriate System Reference Code Type from the list of values (or key a valid value) in the System Reference Code Type field.
  • Save.

Rules/Notes:

A new Reference Code Type cannot be mapped to a CLOSED System Reference Code Type.

 

To delete a Reference Code Type using the Maintain Reference Code Types form:

  • Find the record to be deleted.
  • Locate the cursor in the record to be deleted.
  • Delete record.
  • Save.

Rules/Notes:

If a Reference Code Type has been used in the definition of a reference code, it cannot be deleted. It can be closed, preventing any further use, by selecting the Closed check box.

A CLOSED Reference Code Type cannot be re-opened if the System Reference Code Type to which it is mapped is CLOSED.

To modify a Reference Code Type using the Maintain Reference Code Types form:

  • Find the record to be modified.
  • Modify the record as required.
  • Save.

Rules/Notes:

If a Reference Code Type has been used in the definition of a reference code , only the description can be modified. This is not recommended unless the change in description is minor and does not affect the meaning of the Reference Code Type. A new Reference Code Type should normally be created.

A Reference Code Type can be closed, preventing any further use, by selecting the Closed check box.
