Purpose

To allow the dates of Admission Date Alias Instances to be altered from those initially defined, while retaining the original date information.

This form is used to alter Admissions related Date Alias Instances. For example, the form allows for the easy extension of Admission Application Closing Dates whilst still retaining a record of the original Closing Date. The new date is termed the Override Date.

An Override Date can be created for all Course Offerings in an Admission Period-Admission Category or for a subset of the Course Offerings. This form acts as a restriction form. Specifying any of Admission Process Type, Course Code, Location Code, Attendance Mode or Attendance Type restricts the use of the altered Date Alias Instance to Course Offerings matching the specified parameters. Course Offerings which do not match continue to be subject to the original date.

For example, the Calendar Rollover Process has created a new Admission Period with a 'Course Application Closing Date' of 1 October 2003. The institution determines that whilst this date is correct for most courses, off-campus Course Applications for a particular Admission Category should close later than other courses, on 20 October. This information is recorded in this form.

The Direct Admission Process checks the options entered for each Course Application. When the System encounters an application for on-campus study, it checks for any on-campus override matches for the application's Course Offering option. None exist, so the application closing date is 1 October. When the System encounters an application for off-campus study and checks for off-campus override matches for the application's Course Offering option, it finds the Override Date, 20 October. 20 October is then used as the Closing Date for that application and is used to determine whether or not the application is late.

To override an Admission related date (e.g. to extend an application Closing Date from 1/10/03 to 20/10/03 for off-campus courses in a particular Admission Category):

• Execute a query to locate the Admission Period Admission Category for which a date is to be changed. The associated Date Aliases are displayed. Selecting a Date Alias (e.g. 'Application Closing Date') displays its original instance for the particular Admission Period, Admission Category and displays any override instances previously created (e.g. at this point the only instance is 1/10/03).
• Select the Date Alias Instance button to invoke CALF0512 and create a new instance of the Date Alias with the required Override Date (e.g. 20/10/03).
• Return to ADMF2M62. Two date values now exist for the Date Alias (e.g. application Closing Dates of 1/10/03 and 20/10/03).
• Create an Override by, in the Admission Period Course Offering Option Date Override block, selecting the course details to which the Override Date will apply and attaching the new date (e.g. selecting Attendance Mode OFF-CAMPUS and Alias Value 20/10/03).

Selecting the Include in Rollover check box for an Override record permits inclusion of that record in the Admission Period Rollover process (CALF0320).

Rules:

An Override date can be created for any combination of:

• Admission Process Type
• Course
• Location
• Attendance Mode
• Attendance Type

More than one Override Date can be set for a particular Date Alias provided that their restriction attributes (Location, Mode, Type etc.) do not clash.

Inactive Course Versions are not available for selection.
Active Course versions which are offered in the Commencement Period but have a passed expiry date may not be selected.
Expiry Date details can be viewed as part of the LOV.
