Record Reporting Statuses - VET only
This Help page provides
an overview of the Reporting Statuses of records included in the VET FEE-HELP Submission Snapshot
(STAJ8050) that is used for reporting VET FEE-HELP statistics to DIISRTE.
Maintain VET FEE-HELP Snapshot - (STAF8050)
The Maintain VET FEE-HELP Snapshot (STAF8050) form is used to set Reporting Statuses. The following Reporting Statuses can be set for any person level, course level or unit level record in any submission that has not been set as completed:
- INCLUDE – The record will be included in the file creation process.
- EXCLUDE – The record will not be included in the file creation process. Records marked as EXCLUDE will also be excluded from future snapshot processing within the context snapshot submission period.
- RE-PROCESS – The record requires the snapshot process to be run over it again before the file creation process can create the files.
The Reporting Status field on STAF8050 displays the Reporting Status of a snapshot record. If the snapshot has a Completion Date, the Reporting Status of a record cannot be updated.
Validations
The following validations apply when updating the Reporting Status of a record in STAF8050.
- Records with a Reporting Status of EXCLUDE can only be set to RE-PROCESS.
- Records with a Reporting Status of RE-PROCESS can only be updated to EXCLUDE.
- The System Reporting Status must be open.
- Updating a parent record to EXCLUDE will also update all the child records.
If a parent record is updated to EXCLUDE and there are child records with a status other than EXCLUDE, a message with an option to continue ('OK') or 'Cancel' is displayed. If 'OK' is selected, the child records are updated to a status of EXCLUDE. If 'Cancel' is selected, the parent record, as well as the child records, remain unchanged.
- (If records have a status of EXCLUDE (see Diagram 5, below) the following applies.) Updating a parent record to RE-PROCESS also updates all the child records. (However, if the status of all records is INCLUDE, only the current record will change (see Diagram 4 below).)
If a parent record is updated to RE-PROCESS and there are child records with a status other than RE-PROCESS, a message with an option to continue ('OK') or 'Cancel' is displayed. If 'OK' is selected, child records are updated to a status of RE-PROCESS. If 'Cancel' is selected, the parent record, as well as the child records, remain unchanged.
- Updating a record from EXCLUDE to RE-PROCESS also updates its parent record and all the child records.
(If the user selects OK, the Reporting Statuses of the parent record and child records are updated to RE-PROCESS. If the user selects Cancel, both the parent record and child records remain unchanged.)
- Updating a record from INCLUDE to EXCLUDE also updates its parent record and all the child records. (This only occurs if updating the record leaves behind no reportable records.)
(If the user selects OK , the Reporting Statuses of both the parent and child records are updated to a status of EXCLUDE. If the user selects Cancel, both the parent record and child records remain unchanged.)
- Updating a record from RE-PROCESS to EXCLUDE also updates its parent reocrd and all child records. (This only occurs if updating the record leaves behind no reportable records.)
(If the user selects OK , the Reporting Statuses of both the parent and child records are updated to a status of EXCLUDE. If the user selects Cancel, both the parent record and child records remain unchanged.)
For example, in Diagram 1, if (3) is updated to EXCLUDE then (6) and (7) are also updated, but (1) (the parent of (3)) stays the same, because (2), (4) and (5) are still reportable.
If all the Govt. Snapshot SUA (GSSUA) data of a person for a course is updated to EXCLUDE, the GSSCA and Govt. Snapshot Person (GSP) data for this person will update to EXCLUDE. And if the GSP record that is parent to the GSSCA has no child record that will be reported, then the GSP of the person is also updated to EXCLUDE.
