Purpose

To extract information detailing Student Unit Attempts to be recorded in a Revisions file.

The purpose of this function is to extract records from the GOVT_STUDENT_REVISONS table and the GOVT EXTERNAL STUDY LOAN REVISIONS entity to create a Revisions file (SR).

The Revisions file reports changes to Element values that were submitted in prior Load Liability (LL) and OS-HELP (OS) files created as part of a prior DIISRTE submission.

The Revisions file is used by institutions to report to DIISRTE details of revisions (i.e. remissions or changes due to administrative error after Census Date) affecting a student's HECS-HELP, FEE-HELP, OS-HELP debt or EFTSL.

This form is accessed via the main menu.

Parameters

Select either:

• Log Creation Date (LOV)

Or a combination of the following parameters:

• Revision Submission Year (LOV)
• Revision Submission Number (LOV)

Rules/Notes:

If a Log Creation Date is not entered, the Revision Submission Year and Revision Submission Number are mandatory fields, therefore values must be entered for both fields.

Validations include:

• Mandatory input parameters are not left blank
• Output file name is supplied
• The KEEP directory is defined
• Output file name can be opened (correct path defined)
• Local institution information is supplied
• Local institution address information is supplied
• Government Student Status Code is made up of three digits
• EFTSL for a unit of study is no more than 9999999999 in length
• Birth date is defined for the student
• Student has an ACTIVE or PROVISIONAL CHESSN
• Tax File Number is supplied

Using the LOV, select the appropriate Revision Submission Number for this extract.

Rules/Notes:

The file name is: HHHHXXYYYY.PNNNNN
where:

• HHHH = Higher Education Provider Code - (Institution code)
• XX = File Type abbreviation code - (File type code is not case sensitive), i.e. SR
• YYYY = Reporting Year - (always 0000)
• P = Reporting Period - (always 0)
• NNNNN = Submission Number - (00001 – 99999)

For example, 1234SR0000.000001

The Submission Number used in the file name is the Submission Number defined in STAF1350 – the Government Snapshot Control form.
The Submission Number must follow sequentially from the last Revisions file you submitted, for example, if you have already submitted eight Revisions files to DIISRTE, the first Revisions file submitted to HEPCAT will have a Submission Number of 00009.
