Overview

The Electronic Commonwealth Assistance Notice (eCAN) is web based functionality which enables students to view their Commonwealth Assistance Notices (CAN's) online and also enables staff to view the CAN's of their students. The eCAN provides the same information as the hardcopy CAN. It can be configured to display in either PDF or HTML format by selecting from the Self Serve Delivery Type field (WEB for html or PDF for PDF) in SSFF1100 (Maintain Self Serve Applications).
The eCAN extracts the required information from Callista extract tables ('s_extract' and 's_extract_record' which are populated by running FINJ6200 - Commonwealth Assistance Notice Extract) and presents it electronically via Callista Connect or Staff Connect.
Current or previous CAN's may be selected for viewing using the eCAN Select application (ECANSEL), which displays a list of eCAN's available for viewing by the user
(subject to security restrictions as described below).
If
a valid cohort process window is not available or no records exist from which to generate an eCAN, then an appropriate error message is displayed.

If the course is a VET sector course, the EFTSL and SLE values are not displayed on the eCAN for that course. However, EFTSL and SLE values are still displayed for HE courses.

The eCAN is accessed from the Student Connect menu.

eCAN Status

CANs may have a status of :

In Student Connect, only CAN's with a status of VALID or INVALID are available for display. In Staff Connect, all eCAN's are available for viewing.

CAN Status and Status Comments are available for inclusion in the eCAN template.

CAN statuses can be updated in bulk using job FINJ6210, or individually in FINF1W00.

Security Restrictions

When accessed via Student Connect , eCAN Select (ECANSEL) is subject to Cohort Process Window checking. Only eCANs that have a fee period with a valid Cohort Process Window for the Electronic Commonwealth Assistance Notice (ECAN) application will display in the selection list.
If a valid Cohort Process Window does not exist then the student will be presented with an error message informing them that a valid access window does not exist.

When accessed via Staff Connect , eCAN Select (ECANSEL) is not subject to Cohort Process Window checking however it will be subject to Organisational Unit Restrictions. If a staff member has the required access to view a course attempt on an eCAN, then all unit attempts associated with that course will also be viewable by the staff member even if they are not in the organisational unit they are restricted to.
If two or more courses exist on a given eCAN, providing the staff member has organisational unit access to at least one of the courses, then all courses will be displayed.

Course Details

Course details are displayed separately for each student course attempt which has one or more units for which the student is receiving Commonwealth Assistance. HE and VET course details are displayed in separate sections.

Commonwealth Assisted Unit Details

The Commonwealth Assistance Unit Details are those unit attempts for which the student is receiving Commonwealth Assistance. Unit attempts are displayed against their associated student course attempt. The following details can be displayed for Commonwealth Assisted Unit Details:

Commonwealth Assisted Liability Details

The Commonwealth Assisted Liability Details show the fees liabilities for those unit attempts for which the student is receiving Commonwealth Assistance. Commonwealth Assisted Liability Details are displayed against their associated student course attempt, after the Commonwealth Assisted Unit Details.

Disclaimer Message

For HE units, the following disclaimer message is displayed at the bottom of the eCAN:

‘It is your responsibility to check your Student Learning Entitlement (SLE) balance for Commonwealth-supported places, and/or FEE-HELP balance for fee-paying places, on the ‘Going to Uni’ web site at: www.goingtouni.gov.au. To access this information, you must use your Commonwealth Higher Education Student Support Number (CHESSN) as contained in this notice. You are only eligible for any of the amounts of Commonwealth assistance contained in this notice if you have a sufficient SLE and/or FEE-HELP balance and the information regarding Commonwealth assistance contained in this notice is only correct insofar as you have correctly advised this higher education provider of your entitlement to that assistance under the Higher Education Support Act 2003.’

For VET units the following disclaimer is displayed at the bottom of the eCAN.

'It is your responsibility to ensure that you have sufficient FEE-HELP balance to cover the VET FEE-HELP amounts indicated in this notice. You are eligible for the amounts of VET FEE-HELP assistance contained in this notice only if you have sufficient FEE-HELP balance to cover those amounts. The information regarding Commonwealth assistance contained in this notice is correct only in so far as you have correctly advised this VET provider of your entitlement to that assistance under the Higher Education Support Act 2003.'

If the eCAN includes both HE and VET course details then both disclaimer messages (shown above) will be displayed.

The eCAN template can be configured to include Higher Education Provider (HEP) specific layouts and logos.
