This form provides the ability to set default information for an individual staff member. This default information includes email address and printer details for job/report outputs. It also controls the staff member's ability to access functionality like Standing Requests and determines whether they can view other staff members' scheduled jobs. In addition to this, it allows the setting of default values for notifying this person of job request status changes.

This form is accessed from the main menu.

The Person Preferences block contains:

  • Person
  • Oracle Username
  • Default Server Printer (LOV)
  • Default Email Address
  • Use Novice Request Interface check box
  • Allow Standing Request check box

Rules/Notes:

  • You cannot update another Persons Preference record unless you are an Administrator - recorded in SECF0062.
  • The notify SMS phone number must be numeric and contain no blank spaces between numbers.
  • If 'Always Send Notification' is checked then either the 'Notify Email Address' or 'Notify SMS Phone Number' must be set.If 'Always Send Notification' is checked then either the 'Running to Completed' or 'Running to Failed' must be set.
  • The Find Person button in the Detail Request Job Notification block is used to populate just the Notify Email Address field.

Maintain Person Preferences

Registration details for the person currently logged on are displayed when this form is entered. Although it is possible to inquire on another user's record, the majority of people will only have the security privileges to change their own record.

The fields you can update are:

Default Server Printer - Select from the list of values. This printer is assigned by the system as a destination for any printer output when jobs are requested, unless a printer has already been nominated as part of the job definition. (A user can override the default printer assigned to output when they create a job request.)

Default Email Address - Where output destinations are not defined for a report or job, the output may be sent to this email address. This address is also used, when the Notify Requester check box has been selected, to send an email to the address advising when a report or job has completed.

Use Novice Request Interface - The check box can only be updated by a person with Administrator privileges (see SECF0062). When selected, the user is able to use the Schedule As Soon As Possible function when running jobs and reports. It removes their ability to schedule jobs and reports through Job Scheduler. In addition, this check box restricts the user to viewing the jobs they have scheduled prior to this option being activated.
Novice users cannot modify another user's record and can modify all but the Allowing Standing Request and Use Novice Request Interface options on their own record.

Allow Standing Request - The check box can only be updated by a person with Administrator privileges (see SECF0062). When selected, the user is allowed to submit jobs as standing requests, as opposed to normally scheduled requests.

Always Send Notification - The check box should be selected if the user wishes to always receive email notification of report and job completion or failure.

Notify Email Address - This is the default email address for this person when they are selected to receive job status change messages in JBSF5301.

Notify SMS Number - This is the default SMS number for this person when they are selected to receive job status change messages in JBSF5301.

Running to Completed - If this checkbox is selected, then when this person is selected to receive job status change messages in JBSF5301, by default, they will be notified when the job request status changes from RUNNING to COMPLETED.

Running to Failed - If this checkbox is selected, then when this person is selected to receive job status change messages in JBSF5301, by default, they will be notified when the job request status changes from RUNNING to FAILED.

When scheduling a report in a Connect environment, if you have a default destination of email set, then you get the report output sent as an attachment, the extension used does not allow immediate viewing of the file.

Rules/Notes:

  • Another person's preference record cannot be updated unless the person doing so is an Administrator.
  • The Always Send Notification check box is not a mandatory indicator. If this is selected, then the user will automatically receive notification - even without doing anything in JBSF5213.

To set personal defaults, using the Maintain Person Preferences form:

  • Select the code for the default printer from the list of values (or key a valid value) if required
  • Record a Default Email Address for report outputs if required
  • Select Person Preferences checkboxes as required
  • Select Always Send Notification checkbox if required, and if so, also record Email and/or SMS details and select 'Running to' checkbox(s)
  • Save

Rules/Notes:

  • An individual's personal defaults can only be set by the individual or a person with Administrator privileges.
  • The Allow Standing Request and Use Novice Request Interface check boxes can only be set by a person with Administrator privileges.

To modify personal defaults, using the Maintain Person Preferences form:

  • Find the record to be modified
  • Modify the record by changing the existing defaults
  • Save
Rules/Notes:

To cancel the assignment of a personal default, using the Maintain Person Preferences form:

  • Delete the values in the printer and/or email fields, and/or deselect the Notify Requester check box
  • 'Administrators' are able to select or deselect the Allow Standing Request and Use Novice Request Interface check boxes
  • Save
