SCHF1030 - Maintain Scholarship Application Applicant Eligibility Response

This form allows the user to record an Applicant's Responses for Eligibility Criteria defined for a Scholarship Offering.

This form is used to view, record and update an Applicant's responses to eligibility criteria in their Application for a Scholarship Offering Instance.

This form can be opened in the context of a Scholarship Application for an Applicant by clicking on the Applicant Eligibility Response button from SCHF1020. The Scholarship Application and the Actual Eligibility Response section will be populated based on the context Scholarship Offering Instance and Applicant ID.

The information displayed on this form will allow the administrator to view the context of the Scholarship Application details including:

  • Applicant summary details
  • Scholarship Application summary details such as the Application Source and Status, and the Scholarship Offering Description and Scholarship Offering Instance.

For the context Scholarship Application, the eligibility criteria and response options as defined in SCHF0550 are displayed. All criteria for the scholarship display, regardless of whether they are conditional (following on from another criterion). A lamp will display when a criterion that is conditional to another criterion is selected.

The applicant’s responses are displayed and can be maintained here.  The response will be either selected from the response options list for that criteria, or a free text entry, or both. The nature of the criterion is determined by how it is defined in SCHF0550.

The Scholarship Application details are populated based on the context Scholarship Application (from SCHF1020).

The Actual Eligibility Response block contains:

The Actual Eligibility Response criteria are defined for the Scholarship Offering Instance in SCHF0520.

Select a Criterion record to see the actual response displayed below.

Either a Response textbox or an Option LOV will be available for the actual response, depending on whether the Eligibility Criteria Response Type is List or Free Text (defined in SCHF0550).

These actual responses may be populated via this form or via Applicant Portal.

If you click on the Explanation button, a popup appears displaying the Explanation for the current Eligibility Criterion. This Explanation is the text that appears in the Applicant Portal. See Scholarships in Applicant Portal. The Explanation Popup has a Back button to make the popup disappear.

If a response option includes a free text field then it must be populated.
If a LIST type criterion is not configured for multiple responses (in SCHF0550) then only one response can be selected.
If a LIST type criterion is mandatory and there is no option selected for it then a warning -'Not all mandatory Eligibility Criteria have been answered' is displayed. - The exception to this rule is if a criterion is marked as mandatory, but is conditional to a response that the applicant has not given, then the conditional criterion is not mandatory.
(Conditional criteria may defined in SCHF0520).

For example:
Criterion 1: Do you have Research Experience? Mandatory criterion with option 'Yes' or 'No'.
Criterion 2: Where was your Research conducted ? Mandatory with options 'At this institution' , 'At another Australian Institution' , 'At an overseas Institution'. Criterion 2 is conditional on the yes option being selected for criterion 1 (as defined in SCHF0520), so if the applicant answers 'No' to criterion 1 and they don't respond to criterion 2 then the warning won't display.

To Record a Response :

  • Go to SCHF1020
  • Query for required Scholarship Application
  • Click on the Applicant Eligibility Response button to open SCHF1030
  • Select the required Criteria, record/select responses and save.

Rules/Notes:

On saving, a warning displays if all Eligibility Criteria defined as Mandatory in SCHF0520 have not been answered.

Either a Response Textbox or a List of Values will be visible; this is based on whether the Criterion selected is a List or Free Text (defined in SCHF0550). The Description field beside the List of Values will only be visible when the Selection Criteria response type is List.

A warning displays if the Applicant has other submitted Scholarship Applications with the same Eligibility Criteria.

If a Scholarship Application has a status of PROCESSING or COMPLETED, an Application's eligibility responses will be 'view only'.
