Students can fund their studies through the receipt of various Scholarships. For example, Commonwealth Learning Scholarships. This form enables the recording of any Scholarships awarded to students.

The recording of Scholarship Details enables the awarding of multiple Scholarships, which apply over consecutive or concurrent date periods. The Scholarships could come from an external organisation, the government, or from an internal source; they can also have other benefits (in addition to their monetary value) or conditions that apply.

For Research Scholarships this form can be accessed from RESF3211 (using the Scholarship navigation button) or directly from the menu. For undergraduate scholarships you can only access this form directly from the main menu.

The title of the context block is dynamic and will read either 'Candidature - Admission Course Application' or 'Candidature - Student Course Attempt', depending on the Admission/Enrolment status of the Research Candidate or 'Admission Course Application' or 'Student Course Attempt' depending on the Admission/Enrolment status of the undergraduate student.

Above the Person ID field, the values derived from the Research Student Indicator View are displayed as a lamp. If more than 22 characters, the result is truncated (...). To view truncated information, select with cursor to navigate and display values that were not initially displayed.

Institution-defined Scholarship Types and their associated details (Description, Org Unit Code or Person ID) are maintained in RESF31A0.

From 2011, an Australian Postgraduate Award (APA) Scholarship (Government Scholarship Type is 1) can be entered for students where their citizenship code is either 4 or 5, but only if they have also received an International Postgraduate Research Scholarship (IPRS) (Government Scholarship Type is 2).

Rules/Notes:

Validations include:

  • The Start Date for a Student Scholarship Status Account (SSCHSA) record cannot be before an Scholarship Start Date
  • SSCHSA Start Date cannot be greater than the Scholarship End Date, if the End Date is set
  • An SSCHSA record cannot have an End Date after the Scholarship End Date, if a Scholarship End Date is set
  • There can be multiple SSCHSA for a Student Course Attempt-Scholarship combination. An SSCHSA date range cannot overlap another SSCHSA date range for the same Scholarship
  • When multiple SSCHSA records exist, there can be no gaps between a SSCHSA End Date record and the Start Date of a following SSCHSA record
  • When a Scholarship is End Dated, the corresponding SSCHSA record is closed automatically
  • A Termination Code can only be specified if all SSCHSA records in context of SCA Scholarship are End Dated
  • A Termination Code can only be specified if the Scholarship is End Dated
  • Student Scholarship record End Date must be equal to or greater than the most recent SSCHSA status record
  • For scholarships with a Government Scholarship Type where the Commonwealth Scholarship Indicator = ‘Y’ (in STAF1130) , the Course of Study Type must be 6, 8, 9, 10, 13, 20, 21, 22, 30 or 41.
  • If Scholarship Type has a Government Scholarship Type where the Commonwealth Scholarship Indicator = ‘Y’ (in STAF1130),  there must be a Scholarship Status record with a Government Scholarship Status Code of 1, 2, 3, 4, 5 or 6.
  • If a student has a Govt Citizenship Status of '4' or '5' they should not be given a Scholarship Type mapped to a Govt Scholarship Type of '1' unless they hold a Govt Scholarship Type of '2'.
  • A citizen status of 4 or 5 can onl receive a Government Scholarship Type of 1 where they have already received a Government Scholarship 2.
  • A Student Citizenship Status of 4, 5 or 9 can't have a Government Scholarship where the Commonwealth Scholarship indicator = Y.
  • A Student Status of 110, 111, 112, 201, 202, 250 or 260 can't have a Government Scholarship of 3, 4 or 5.

If fields are accessed directly, they can be queried to retrieve the required student record.

When recording details of a Scholarship, Scholarship Type and Start Date must be entered and are the minimum details required.

  • A 'CLOSED' Scholarship Type only appears in the LOV, where the current record was created prior to the closing of the type.
  • The Scholarship Type Details section in the overflow area automatically displays the associated details for the selected Scholarship Type. These values cannot be modified in this form.

Research Scholarship details can only be recorded against an existing student.

Closed Scholarship Types cannot be entered.

Where multiple scholarship entries are made, the same Scholarship Type can only be used if the applicable date periods do not overlap.

Where a Scholarship Type has multiple Scholarship Applications within multiple Admission Periods, a LAMP displays the Scholarship Application Status of the latest Admission Period in the top right hand corner of the Scholarship block.

A Scholarship Type will have an associated Org Unit Code or Person ID, not both.

Once committed, Scholarship Type and Start Date cannot be modified.
