ORGF0125 - Maintain Address Groups

This form enables institutions to configure Address Groups. Address Groups are used within Callista to group like Address Types for use in functionality like the Student Connect address application.

The form maintains Address Group information including the Closed, Available, Mandatory, Add and Update check boxes. As well as enabling an explanation to be entered against an Address Group, the form also enables an Address Type to be associated with an Address Group Code.

This function enables institutions to configure the following functionality:

  • Configure Address Types to be associated with an Address Group. Address Types associated with an Address Group are considered as a logical group of Address Types in the Student Connect application: PE-ADDRUPD - Address Inquiry, Add and Update.
  • Configure Address Types (via Address Groups) to be SSF Available and as such displayed in Student Connect. If an Address Group is not set to SSF Available it will not be displayed in Student Connect.
  • Configure Address Types so that they can be added through Student Connect. If an Address Group is not set to SSF Add, the Add button will not be displayed when no Person Address record in that group exists.
  • Configure Address Types to be mandatory. Address Groups configured to be mandatory will not be able to be ended. Where PE-ADDRUPD - Address Inquiry, Add and Update is called from Self Enrolment Steps, the Completion Date for the step is not be set until a Person Address record exists for one mandatory Address Type where the Address Type is part of an Address Group.
  • Configure Address Types to be updateable through Student Connect. If an Address Type does not have SSF Update set, then the Address Type does not have the Update button displayed against it when a Person Address record exists.
The Address Types included in the Address Group can also optionally have a Copy From Address Type value recorded against it.  When recording Person Address information, this value will signify what Address Type is valid to copy data from to include in the new record.

Rules/Notes:

The Correspondence check box is display-only. It is used in the Maintain Address Types form (ORGF0116) to indicate if an Address Type can by used for correspondence.

Note: If a user attempts to edit an Address Type belonging to an Address Group that contains both correspondence and non-correspondence Address Types, an error message is displayed informing them that an Address Group with a mix of Address Types can potentially cause correspondence addresses to be end-dated by students in Student Connect (i.e. it is possible for students to end-date a correspondence address by adding a future address for a non-correspondence type, thereby leaving a student without an active correspondence address).

 

Validations include:

  • Address Type must not be closed.
  • When an Address Type is associated with more than one open Address Group, return a warning message.
  • If an Address Group is closed, no more Address Types can be added.
  • Warn if the Copy Address Type is in the same Address Group as the context Address Group Type.
  • Address Type cannot be the same as the Copy Address Type.
  • Address Type must not be closed.
  • Address Groups containing a mixture of correspondence and non-correspondence Address Types can potentially cause correspondence addresses to be end-dated by students in Connect.
