Addresses can be maintained for the Students, Institutions, Companies and Organisational Units recorded in the System. Each of these may have one or more current addresses, but each address must be of a different type. The System provides for flexibility in the configuration of Address Types, allowing selection from the set of System defined attributes, including the number and type of fields, field label, case, Mandatory, include field in address block and Correspondence check box attributes.

This form is used to maintain the set of Address Types and to specify the layout of address maintenance forms and mailing labels, dynamically configured according to Address Type, used elsewhere in the System.

The institution address is reported to the Government in the Student Contribution Due file. An address of type 'GOVT-CNTCT' must be created for the institution so that DIISRTE address elements can be identified. (see Statistics Subsystem Data Pre-requisites.)

The Address Types which are used to record student address details for the Student Contribution Due File, must be configured correctly. (see Statistics Subsystem Data Pre-requisites.)

If an Address Type may contain Residence Code details that correspond to the Residence Code recorded in the Person Statistics form, then the Statistics checkbox should be selected. This will give students who update their address details via Student Connect the opportunity to also update the Residence Code. See Student Connect Address Update and Verification.

For example, an institution may record two types of addresses for students, Postal Addresses (for addresses within Australia) and Overseas Postal Addresses (for addresses outside Australia), using POSTAL and OS POSTAL as the Address Type codes. These two Address Types can be specified with different layouts and contents to cater for such items as country names, which are not required for local addresses.

Rules/Notes:

The addresses for particular Address Types are accessed by the Statistics Subsystem as a part of reporting to Government (see Understanding Statistics and Statistics Subsystem Data Pre-requisites). The Address Types which are to be used for this purpose are decided by individual institutions when the Statistics Subsystem is implemented. 

The Explanation field allows users to record Address Type Explanation data against Address Types.

To create a new Address Type using the Maintain Address Type form:
  • Enter Insert mode
  • Enter the new Address Type in the Address Type field of a blank record
  • Enter the corresponding description for the Address Type in the Description field
  • If this Address Type can be used for correspondence, select the Correspondence check box
  • If this Address Type contains details which correspond to the Residence Code recorded in the Person Statistics form then select the Statistics check box
  • Enter address configuration details:
    • Enter the field label to be displayed on address maintenance forms as the first line of an address, in Address Line 1 field
    • If address line 1 is to be displayed on address maintenance forms, select the Display check box
    • If the entry of data in this field is mandatory, select the Mandatory check box
    • If address line 1 is required to be displayed in uppercase text, select the Uppercase check box
    • If address line 1 is to be used on mailing labels, select the Mail check box
  • Repeat step 4 for the remaining 10 lines of address configuration. (Lines 2 to 11 are optional)
  • Save

Rules/Notes:

If the Statistics checkbox is selected, this will cause a student connect user to be prompted to also update their Person Statistics details when they update their address.

The 11 configuration detail lines must be used for the type of data specified. i.e. Address Lines 1 to 5 must be used for physical address details, Postcode can only contain a valid Postcode, Overseas Code can only be used for an Overseas Zip Area or other postal code, etc.

Each Display check box, when selected, will cause the Address Line on which it occurs to be displayed in address maintenance forms. An unselected check box will prevent that line from being displayed.

Each Mandatory check box, when selected, will make the entry of data in that Address Line of address maintenance forms, compulsory.

Selecting the Uppercase check box will cause that line to be displayed on address maintenance forms and printed on Address Labels in uppercase text.

Selecting the Mail check box will cause that line to be printed on address labels.

 

To modify an Address Type using the Maintain Address Type form:
  • Find the record to be modified
  • Modify the record as required
  • Save

Rules/Notes:

An Address Type can be closed, preventing any further use, by selecting the Closed check box.

To delete an Address Type using the Maintain Address Type form:

  • Find the record to be deleted
  • Locate the cursor in the record to be deleted
  • Delete record
  • Save

Rules/Notes:

An Address Type cannot be deleted if it has been assigned to an address. It can be closed, preventing any further use, by selecting the Closed check box.
