To allow the creation and maintenance of Institution Addresses

This form is accessed through (ORGF0120), via the Institution Addresses button.

This is the context block giving details of the institution for which an address or addresses are to be created or maintained in the block below.

Inquiries cannot be made in this form - to inquire on an address for a different institution, return to ORGF0120 and select the institution there.

Institution Address

One or more addresses, each of a different type and Start Date, may be recorded for an institution. The content and layout of the address details are determined for each Address Type in the Maintain Address Type (ORGF0116) form. ORGF0116 also permits Address Types to be nominated as Correspondence Addresses. When a 'correspondence' Address Type is selected in this block, the word CORRESPONDENCE is displayed in red text above the address details.

For example, different addresses for an institution could include a campus address and a postal address.

 

The Institution block contains:

  • Institution Code
  • Institution Status
  • Name

The Institution Address block contains:

  • Address Type
  • Description
  • Start Date
  • End Date
  • Contact Person
  • Number & Street
  • Suburb/Town
  • State
  • Postcode
  • Phone

Rules/Notes:

 

To create a new Institution Address using the Maintain Institution Addresses form:

In Insert mode:

  • Select the appropriate Address Type from the list of values (or key a valid value)
  • Enter the effective starting date for the new address in the Start Date field
  • Enter the last date on which this address will be/was effective in the End date field. (optional)
  • Enter the name of a contact person at this address in the Contact Person field. (optional)
  • Enter the address in the appropriate fields as required by the Address Type configuration
  • Enter other details (e.g. phone numbers, fax numbers) in the appropriate fields, as required by the Address Type configuration.
  • Save
  • To add more Institution Addresses to this institution, repeat steps 1 to 7

Rules/Notes:

For each Address Type, an institution specifies:

  • The address configuration
  • The labels used for fields
  • Whether a field entry is optional or mandatory
  • Whether uppercase is used.

Only one address of each Address Type can be effective at any point in time.

Only one address of each Address Type can have no end date set.

Only one Correspondence Address can be effective at any point in time.

 

To modify an Institution Address record using the Maintain Institution Addresses form:
  • Find the record to be modified
  • Modify the record as required
  • Save

Rules/Notes:

Whilst address records can be modified, it may be preferable (unless the modification is to correct an incorrectly keyed address) to End Date them in order to maintain a history of addresses.

To delete an Institution Address using the Maintain Institution Addresses form:

  • Find the address record to be deleted
  • Locate the cursor in the record to be deleted
  • Delete record
  • Save

Rules/Notes:

Whilst address records can be deleted, it may be preferable to End Date them in order to maintain a history of addresses.
