Delivery Group Notice Extract

The purpose of this function is to extract data from Callista necessary for the creation of Call Up Notices that are sent to apprentices advising them of the dates they are required to attend for study.

The dates are taken from the appropriate Delivery Groups and Delivery Periods to which the apprentice has been allocated based on their Course enrolment.

The data will be inserted into the Callista system extract tables and a separate routine will be developed by each client to extract the data from the extract tables and format it into the required layout for their Call Up Notice.

The process will allow a date range to be nominated. The process will extract details for all students whose first delivery period start date falls within the specified date range. This allows the user to target students beginning in a specific timeframe, which in the case of NTU is eight weeks prior to the students release start date.

There will also be the ability to produce a Call Up Notice on an individual student basis.

Each extract and the individual students within the extract will also be recorded in the correspondence tables. This will enable checks to be performed to ensure students who have already received a notice, do not receive another. An option will exist to override this check and issue another notice if required.

The scheduling of this form will trigger a database procedure named ENRP_INS_DG_NOTICE. Values are stored in DG_NOTICE_RECORD_V database view.

This form is accessed via the main menu.

Rule/Notes:

All fields, except Extract Comment, Teaching Period, First Delivery Period Start Date Range, To, Person ID and Person ID Group are Mandatory. Override Sent check box and Consider Re-Issues are by default, left unchecked. Register Correspondence check box is by default, checked.

 

To run this job:

  • Navigate to ENRJ4900
  • Nominate the required parameters for this extract
  • Select Schedule ASAP

Rules/Notes:

Start Date must be before or equal to the End Date, if specified.

If specified, the person ID must have a student course attempt with a status of 'UNCONFIRM', 'ENROLLED', 'INTERMIT' or 'INACTIVE'.

Only one of the Person ID or Person ID Group parameters can be specified.

If a start/end date range is specified and a delivery group is also specified (ie. not %), then the delivery group should have at least one period that falls within the start/end date range

If a Person ID is specified but no delivery group is specified, then the Person ID should be allocated to a delivery group in the specified academic period.

If a Person ID and a delivery group are both specified but no course code is specified, then the Person ID should be allocated to the specified delivery group in the specified academic period.

If a Person ID, delivery group and course code are all specified, then the Person ID should be allocated to the specified delivery group for the specified course code in the specified academic period.
