CRSF2310 - Maintain Unit Offerings

Purpose

To create and maintain Offerings of Unit Versions.

Unit Version

The Unit Version block displays the current Unit Version record from CRSF2210. The displayed records in the Unit Offering block are the Unit Offerings for the context record. The displayed records in the Unit Offering Pattern block are the instances in which the Unit Version has been offered for the selected Unit Offering.

For example, if a Unit Version is displayed in the maintain Basic Unit Details form and the Unit Offering button is selected, this form will display the same Unit Version and any Unit Offerings which already exist for the Unit Version. If one of the Unit Offerings is selected, any Unit Offering Patterns which already exist for this Unit Offering will be displayed.

Unit Offering

This block permits the recording and maintenance of all Offerings of a Unit Version. A Unit Offering is the association of a Unit Version with a particular Calendar Type. This means that the Unit Version will be offered in Calendars of that type. A Unit Version may be offered in more than one type of Calendar.

Unit Versions may only be offered in Calendar Types which have a Calendar Category of TEACHING and a Calendar System Status of ACTIVE. A list of values containing only Calendar Types which satisfy these criteria is displayed in the Calendar Type field.

For example, if a Unit Version is to be offered in Semester 1, a Calendar Type SEMESTER1 (or other institution defined name for a Semester 1 Calendar) would be recorded against the Unit Version, creating a Unit Offering.

Unit Offering Pattern

Having created a Unit Offering, this block is used to define specific occurrences of the Offering. Each occurrence of a Unit Offering is called a Unit Offering Pattern. A Unit Offering Pattern is defined by specifying the particular Calendar Instance in which the Unit Version is being offered. Students enrol in particular Unit Offering options of Unit Offering Patterns.

Summer/Winter Full Fee School check indicators have been added to the Unit Offering Pattern to allow institutions to specify which Unit Offering Patterns are Summer or Winter School units of study. This indicator is used by the Statistics subsystem for the purposes of DIISRTE statistical reporting.

For example, if the Unit Offering in the example above is to be offered in 2004 and 2005, the corresponding Calendar Instances can be selected in this block. ie. Calendar Instances Semester1 - 1/1/04 to 30/6/04 and Semester 1 - 1/1/05 to 30/6/05. These two records would define the Offering pattern of the Unit Version.

This form can be accessed through the Unit Offering button in the lower block of CRSF2210.

 

Note: The range of fields displayed in this form depends on whether:

  • Your Callista installation is for HE, VET or VET/HE (cross sector)
  • The context unit is defined for HE, VET or HE/VET (cross sector)

All fields described in this Help page are generic unless stated otherwise.

 

The Unit Version block contains:

  • Unit Code
  • Version Number
  • Unit Status
  • Title

The Unit Offering block contains:

  • Calendar Type
  • Description
  • Closed check box
  • Enr. Activity Start Date Alias [VET only]
  • Enr. Activity End Date Alias [VET only]

The Unit Offering Pattern block contains:

  • Alternate Code
  • Start Date
  • End Date
  • Calendar Status
  • Summer Full Fee School check box
  • Winter Full Fee School check box
  • Enr. Activity Start Date [VET only]
  • Enr. Activity End Date [VET only]

Rules/Notes:

Defining a Unit Offering Pattern permits its use for the enrolment of students.

No student in a Unit of Study that is offered a place in a full fee summer school can be Commonwealth supported. All students must pay fees in this circumstance. The Summer School check box (E551) indicates that a Unit Offering Pattern is a full fee paying summer school Unit of Study.

Winter Full Fee School check box and Summer Full Fee School check box cannot both be selected for the one Unit Offering Pattern instance.

Enr. Activity Start Date and End Date fields only display for VET units.

To inquire on the Unit Offerings of a Unit Version other than that initially displayed:

This block does not permit a query to be entered. It is necessary to:

  • Return to the Maintain Basic Unit Details form.
  • Select the Unit Version for which Unit Offerings are required.
  • Select the button for Unit Offering.

Rules/Notes:

Unit Offerings cannot be assigned to closed Calendar Types, however, on inquiry, existing Unit Offerings which have been assigned to Calendar Types which have subsequently been closed will be displayed. The closed Calendar Types will have the Calendar Closed check box selected.

To record an Offering of a Unit Version using the Maintain Unit Offerings form:
  • Enter Insert Mode.
  • Select the Calendar Type in which the Unit Version is to be offered, from the list of values (or enter a valid value) in the Calendar Type field of a blank record.
  • Save.

Rules/Notes:

Unit Offerings can only be added against Calendars of Category TEACHING.

To modify a Unit Offering using the Maintain Unit Offerings form:

All fields in this block are protected against update. It is not possible to modify existing records in this form. A Unit Offering can, however, be deleted from a Unit Version but only if it has not been used elsewhere in the System.

To delete a Unit Offering using the Maintain Unit Offerings form:
  • Ensure that the correct Unit Version is displayed in the Unit Version block.
  • Select the desired Unit Offering record.
  • Delete record.
  • Save.

Rules/Notes:

A Unit Offering can only been deleted if it has not been used elsewhere in the System or if all children records have been deleted. Deleting an Offering is an unlikely event except where the Offering was incorrectly entered in the first place.

To define a Unit Offering Pattern for a particular Unit Version using the Maintain Unit Offerings form:
  • Ensure that the correct Unit Version is displayed in the Unit Version block and the correct Unit Offering is displayed in the Unit Offering block.
  • Navigate to the Unit Offering Pattern block.
  • Enter Insert Mode.
  • Select the appropriate Calendar Instance from the list of values (or key a valid value) in the Alternate Code field of a blank record.
  • Select whether or not this is a Summer School unit.
  • Save.

Rules/Notes:

A Unit Offering may have numerous occurrences. Each occurrence requires the creation of a new Unit Offering Pattern.

Units can only be offered in 'active' Calendar Instances.

The Calendar Instances displayed in the list of values in step 4. (below) are 'active' instances of the Calendar Type displayed in the Unit Offering block.

Each record in the Unit Offering Pattern block shows the Calendar Status of each Offering Pattern. Although a Calendar Instance must be 'active' to create a Unit Offering, Calendar Instances can subsequently be changed to 'inactive'. An inactive Calendar Status will in effect cause a Unit Offering Instance to be inactive. Inactive Unit Offerings cannot have new Offering Patterns assigned to them and students cannot be enrolled in them

To modify a Unit Offering Pattern for a particular Unit Version using the Maintain Unit Offerings form:

Rules/Notes:

All fields in this block are protected against modification. To change an Offering Pattern it is necessary to delete incorrect records (provided there are no children records dependent on the pattern record) and/or create new records.

To perform a bulk rollover of Unit Offering Patterns:

  • This can be done by running the job CRSJ0020, via the Job Scheduling subsystem.

To remove a Unit Offering Pattern from a particular Unit Version using the Maintain Unit Offerings form:

  • Ensure that the correct Unit Version is displayed in the Unit Version block and the correct Unit Offering is displayed in the Unit Offering block.
  • Select the desired Unit Offering Pattern record in the Unit Offering Pattern block.
  • Delete record.

Rules/Notes:

A Unit Offering Pattern cannot be deleted if it has any dependent child records. Attempting to delete a record with children records will cause an error message identifying the type of child record to be displayed.
