Use this form to:

    • Override a Students Seat Allocation within an Exam Venue
    • Record Examination Attendance Details.

The overriding of a student's Seat Allocation in an Examination can be required for a number of reasons. For example, where two students are suspected of collusion and the System has seated them side by side.

The recording and updating of a student's timeslot or duration is performed in Syllabus Plus or similar and is updated via the Exam Timetabling Interface. This information cannot be entered directly in Callista. The timeslot and duration details are provided for scheduled exams where students may only need to make brief attendance.

For example, a music exam may be scheduled for three hours. However, each student may only be required for fifteen minutes within the three hours. By recording the student's timeslot and duration, appointments can be scheduled for each student.

The Examination Attendance details are recorded from the Attendance Rolls that have been completed and returned by the Exam Supervisor. This form is used to record those students who failed to attend their examination.

The Order By button (bottom block) allows the user to select the particular order or combination of orders that the Student Exam Instance details are displayed in.

Examination Period (top block)

Retrieve the Examination Period by either:

  • Selecting a Calendar Type from the LOV; or
  • Performing a query to retrieve a known Examination Period.
 

Exam Session Venue (middle block)

All Exam Session Venues are displayed for the examination period. Queries can be performed to retrieve particular sessions. For example: sessions on a particular day or sessions at a particular location or venue.

Rules/Notes:

Note: the Special Session check box is used to designate a quarantined examination. Quarantined exams are held for students who are unable to sit the examination at the scheduled session. They must be quarantined to prevent communication with other students from the main session

Student Examination Instance (bottom block)

For each Exam Session Venue, the students expected to attend are displayed in the Student Examination Instance block.

To alter a Seat Number, modify the students System assigned seating allocation.

To indicate the students Attendance within the Examination Session either:

  • Where all or the majority of students attended the examination, select the Default Attended button. This sets all students within the exam session to Attended (check box selected. Uncheck the box for those students who did not attend the exam session. (This procedure is the recommended method.); or
  • Individually update each student who attended by selecting the Attended check box. (This method is only recommended when working with very small sets of students.)

Rules/Notes:

Where altering a students Seat Allocation, the new Seat Allocation cannot be already occupied.

Alterations to Seat Numbers in this form are reflected in the Exam Attendance report (ASSR06F0).

Queries can be performed on students for all fields except Name.
