Purpose

To allow the configuration of name formats used in the Applicant Portal and/or Callista SMS.

Use this form to configure a set of name formats for applicant portal applicants and also Callista person records.
Name formats with a System Name Format Type of APPLICANT will be used by the Record Applicant Details portal application to allow an applicant to choose the preferred name format.
Name formats with a System Name Format Type of PERSON will be used by Person forms in Callista to allow a user to choose the required name format.
To allow data entered in Applicant Portal to be migrated to Callista and vice-versa there APPLICANT Name Formats can be mapped to PERSON Name Formats.
PERSON formats mapped to APPLICANT formats will also be available for use in SCHF1010.

For example an applicant may wish to be known by a 'FORMAL' name format which consists of the the components TITLE, FIRST NAME, SURNAME in that order, or alternatively they might wish to be known by a 'CASUAL' name format which consists of PREFERRED NAME, SURNAME in that order. This form is used to make those Name Format codes available to the applicant.
Likewise the name format can be specified in ADMF3000 or ADMF1213 when a person's details are recorded by an administrator.

This form can be accessed directly from the Callista menu.

The Name Format Component block contains:

• System Name Component Code
• Description
• Order

Rules/Notes:

The top block is used to name and describe the Name Format and the bottom block is used to define the parts of the name used and the order in which they are assembled.

To create a Name Format Code record:

• Record a Name Format Code and Description
• In the System Name Format Type field, select APPLICANT if this name format is to be used in Applicant Portal, or PERSON if it is to be used in Person forms in Callista.
• If details need to be migrated between Applicant Portal and Callista SMS, select the corresponding Name Format value in the Mapped Name Format Code field.
• Record details in the Explanation text box which are appropriate for Persons using Connect.
• Save this record
• In the Name Format Component block, select the Name Format's components using the LOV or type in valid entries. The description will be populated automatically and the order field will be incremented by one from the existing highest order value.
• To alter the order in which the name components will appear, select the component and click on the up or down arrows.

Rules/Notes:

The Name Format Code and Description fields must contain data.

Name Formats with a Format Type of APPLICANT may only be mapped to a Name Format of Format Type PERSON and Name Formats with a Format Type of PERSON may only be mapped to a Name Format of Format Type APPLICANT.

When recording a Name Format, only System Name Component codes associated with the selected System Name Format Type will be available for selection.

A closed System Name Component Code cannot be selected.

The UP and DOWN arrow buttons are used to change the component order of the name format component records. These buttons allow the user to move the current record up or down resulting in the component order of the current record to change to that of the next/previous record based on the button pressed.

Once used in the System, Name Formats cannot be deleted. Select the Closed check box to prevent further use.

Although it is probably not advisable to do so, the components or order of a Name Format can be changed at any time.
