Callista can be configured to support the varied admission processes of an institution. Each admission process is described, in the System, by a number of steps. Setting Up Admission Process Categories and Their Steps describes how this is done. The ability of individual users to perform any of these steps is determined by the security role(s) they have been assigned. Setting Up Security Role Access to Admission Steps describes this in detail.

This form is used to control the ability of staff, via their security roles, to add, modify or delete data within an admission process.

The System Security Role block is used to query and display the security roles recorded in the System.

The System Admission Step Type Access block is used to grant the ability to access and update data or carry out validations, to the selected security role.

The system defined steps are grouped according to the type of admission information being dealt with. For example: Person Data, Course Data, Unit Validations, etc.

There are two ways of creating an initial set of steps for a security role. Which method to choose will depend on the number of steps involved:

  • Where all, or the majority, of steps are to be permitted to the role, it is easiest to select the Default Steps button. This selects all steps for all step types. Individual steps can be unchecked to deny permission for those steps. This is the recommended method as it requires a conscious decision to deny access to a function.
  • Where only a few steps are to be permitted to the role, these can be selected step by step for each group in turn. Access permission is automatically denied for any step not selected using this method.

The security roles are created and maintained by the Database Administrator or System Administrator.

Rules/Notes:

Steps may not necessarily be granted for all step groupings.

The set of available steps is system defined.

For a more complete picture of the capabilities of a security role, it is preferable to deselect the Perform Admission Step check box, rather than delete the step.

Not all steps can have their access controlled by this means. The table below lists those that can.
