STAJ8005 - Create VET Government Submission Snapshot

Purpose

To produce a point in time Snapshot of Enrolment, Government Fee Liability and Load data contained in the System for use in producing Government Statistical Returns.

The Government Submission Snapshot process is run in order to capture a Snapshot of data from Callista. The 'Snapshot' consists of collecting data from throughout Callista and storing it in separate Callista tables. Separate jobs are run to create each extract file from the Government Snapshot.

Government Snapshot tables can be used to check data, to trial data through the Government Submission process for the purpose of ensuring data integrity and as a source of statistical information if the institution desires.

At an appropriate time after the Census Date, one of the Enrolment Snapshots is selected as being representative of the Enrolment situation at the Census Date, and is used in the production of the Government Snapshot. The Enrolment Snapshot used is specified as a parameter to this job.

Parameter Description
Submission Used to specify the Submission for which the Government Snapshot is being run e.g. 2004 1, 2004 2 Select a Submission from the list of values.
Government Training Organisation Use the LOV to specify the Government Training Organisation for this Submission.
VET Enrolment Statistics Snapshot Used to specify the Enrolment Statistics Snapshot to be used, by this job, to produce the Government Snapshot. Either specify a Snapshot here, or leave this parameter blank and use the Use Most Recent Enrolment Statistics Snapshot parameter.
Use Most Recent Enrolment Statistics Snapshot Options are to have the box ticked or unticked. By ticking the box, causes the most recently produced Enrolment Snapshot to be used by this process. If the box is ticked, the Enrolment Statistics Snapshot parameter must be blank. This parameter must be unticked where a Snapshot has been specified for the previous parameter.
Refresh Qualification Completed Data Only If checked, the Submission must have already been created.
Incomplete Government Outcome Code Select required Incomplete Government Outcome Code from the list displayed in the LOV.
Included Incomplete Enrolments Select this check box to include incomplete Enrolments in the Snapshot.
Previous Log Creation Date By specifying a Previous Log Creation Date, the Exception Report from a previous run of this job can be reproduced. Select a previous log record from the list of values. If this parameter is used, the Enrolment Statistics Snapshot parameter must be blank and the 'Use Most Recent.....' parameter must be unticked.
Report Level Options are 'SUMMARY ONLY' or 'ALL'. SUMMARY ONLY should be used for an initial run of this job for a particular Government Submission. This produces a statistical summary of the various errors (exceptions) logged during the process. Large volume errors can then be addressed en-masse. Subsequent runs should use the ALL option, so that lower volume errors can be addressed on a record by record basis.
Message Number Specifying an error log message number here, causes only those records with that message number to be displayed in the Exception Report. This is useful for isolating, and dealing with, one error at a time.

Modifications are:

There are six characters or greater (previously seven) required in the govt_snapshot_course_vet table for current exception logging.

Additions are:

The govt_snapshot_training_loc_vet table receives information from a Country Identifier filed. This field is required for reporting in the NAT00020 Training Organisation Delivery file.

The govt_snapshot_person_vet table receives information from an Address Location filed. This field is required for reporting in the NAT00080 Client file.

The govt_snapshot_enrolment_vet table receives information from a VET in Schools field. This field is required for reporting in the NAT00120 file.

Redundancies are:

The Training Organisation Short Name in table govt_snapshot_training_org_vet is no longer required in NAT00010 - Training Organisation file.

The Unsupervised Contact Hours in table govt_snapshot_unit_vet is no longer required in NAT00060 - Module/Unit of Competency file.

The following values for Occupation Type (govt_occupation_type_major) will no longer be used:
