FINF2224 - Maintain Fee Trigger Groups

Purpose

To create and maintain a group of triggers linked to a Fee Liability, in order that only students with enrolments matching all the member triggers of the group are considered for the Fee Liability

Fee Trigger Group Details

  

Creation of a Trigger Group allows a set of Course, Unit Set and Unit Triggers to be used collectively as a 'single trigger' for a Fee Liability. For this collective trigger to take effect when the Fee Assessment Routine (FINJ3500, FINJ3001) is run, all the member triggers of the Trigger Group must match the student's Enrolment details. Only if this is so will the student be eligible for assessment for the fee. The context in which Trigger Groups operate is discussed further in the Specialist Overview.

Trigger Groups can only be used for fees with a COMPOSITE Trigger Category. The members can be any combination of Course, Unit Set and Unit Triggers, but only one Course Trigger can be included per Trigger Group. Course Type Triggers and Course Group Triggers cannot be included in a Trigger Group.

The following would all be valid Trigger Groups:

  • Trigger Group 1: a Course, one or more Unit Sets, one or more Units
  • Trigger Group 2: a Course and Unit(s)
  • Trigger Group 3: a Unit Set (or sets) and a Unit (or units).

Method. Create a Trigger Group in this form, and then add member to the group in forms FINF2222 (Maintain Course Fee Triggers), FINF2225 (Maintain Unit Set Fee Triggers) and/or FINF2223 (Maintain Unit Fee Triggers), as required.

The form is accessed from Maintain Fee Categories (FINF2800), using the Fee Liabilities button (bottom right), and then selecting the Trigger Groups button (middle button, bottom right).

Deletion. Logical deletion, described below, allows for a Trigger Group to be 'removed' while still enabling transaction reversals to be made for those transactions that have already been created as a result of the trigger.

  • Start Date

  • Fee Type
  • Fee Category
  • Change Method

The Fee Trigger Group block contains:

  • Trigger Group
  • Description
  • Include Deleted Groups check box
  • Comments
  • Deletion Date

The Fee Trigger Group Details block contains:

  • Type
  • Code
  • Version Number
  • Title

Rule/Notes:

The Fee Category Fee Liability block shows the Fee Liability (Fee within a Category in a Fee Period) and Charge Method for which triggers are recorded in the following block.

 

Use this form to record and maintain the Trigger Groups whose members determine the scope of the Fee Liability selected.

Enter a Description of a Trigger Group. A Trigger Group number is supplied automatically by the System when the record is saved.

Optionally, further information about the Trigger Group can be entered in the Comments field.

Trigger Groups can be logically deleted, after all members of the group have themselves been logically deleted in the appropriate forms. A Deletion Date is supplied by the System.

Rules/Notes:

Setting the 'Include Deleted Groups' check box allows the display of all groups, including those that have been logically deleted, when the form is queried. It has NO functional effect in the Fee Assessment Routine.

Members of the group, once their membership is established in the relevant forms, are displayed in the Fee Trigger Group details block. No data entry or update can be undertaken in this block.
