Correspondence Detail

The processes leading up to the use of this form are described under Correspondence Detail (CORF2330).

The form is used to save, view and modify a correspondence item in ASCII text format and message content. Editing is carried out directly in the form.

Typical uses of text correspondence include the saving of the body of an email message, or the storing of a text based data extract used in the generation of a form (such as an enrolment form). Correspondence can be created here but is more commonly copied from another source and pasted into the ASCII Text field.

To access this form, the user first needs to access the Detail button of Register Correspondence Item (CORF2310), then the Edit button in CORF2330.

 

The Correspondence Detail block contains:

  • Correspondence Type
  • Reference Number
  • Creation Date
  • Subject
  • Message Content

Rules/Notes:

Cannot update Subject field for any Correspondence Type from this form.

To store a copy of a correspondence item using the Edit Text Correspondence form:

  • Copy the text to be stored from the source document.
  • Follow the instructions for CORF2310, CORF2320 and CORF2330 to arrive at this form. TEXT must be defined as the format type in CORF2330.
  • Paste the text into the ASCII Text field.
  • Save.

Understanding Correspondence describes the entire process of recording correspondence.

The correspondence item must be registered using the Register Correspondence Item form (CORF2310) prior to storing a copy using this form.

To edit a copy of a correspondence item using the Edit Text Correspondence form:

Copies of correspondence items cannot be edited once they have been sent to students.

To delete a copy of a correspondence item using the Edit Text Correspondence form:

A copy of a correspondence item cannot be deleted using this form.

Correspondence items (and their copies) can be deleted using CORF2310. This is only possible where no records of students being sent the item exist. Check this in CORF2311.
