Tracking Group

Explanation
This form is used to:
  • create tracking groups
  • add tracking items to, and remove them from, membership of a tracking group
  • monitor progress of a tracking group

Tracking items are created and modified in the Maintain Tracking Items form (TRKF2100). Progress of individual items is also monitored there.

The Maintain Tracking Item Group Membership form (TRKF2300) is used to add individual tracking items to one or more tracking groups.

This form can be accessed via a navigation button in TRKF2300. In this case the tracking group selected in that form becomes the context record here. Queries can be performed in this block to display another tracking group.

Example
Tracking items can be grouped according to a common characteristic such as:
  • all special consideration applications for unit MMA101.
  • all advanced standing applications received in week ending 6 March 1997.
  • all admission applications for course SC101, in 1998.

In each case, a group is set up with a description indicating its purpose (e.g. SPECIAL CONSIDERATION APPS _ MMA101).

To create a new tracking group using the Maintain Tracking Groups form:
In Insert mode:
  1. Enter the description of the new tracking group in the Description field.
  2. Save. The tracking group ID is entered by the System.

Tracking Group Member

Explanation
Individual tracking items with common characteristics can be made members of tracking groups. This permits group progress to be monitored. This block is used to add tracking items to, or inquire on tracking items which are members of, the tracking group displayed in the block above. Tracking items can also be deleted from membership of a tracking group.

Tracking items are created using the Maintain Tracking Items form (TRKF2100).

Example
A tracking item is created to monitor the progress of a student's application for special consideration in unit MMA101. In order to ensure that all such applications for the unit are handled by the unit assessor, they are handled as a batch of applications. A tracking group is set up as described in the example above and the tracking item for this student's application is made a member of that group. Progress of the group is monitored to ensure that all like applications are handled within the required timeframe.

To add a tracking item to membership of a tracking group using the Maintain Tracking Groups form:
Navigate to the Tracking Group Member block.

In Insert mode:

  1. Select the required tracking item from the list of values (or enter a valid tracking item number) in the Tracking Item ID field.
  2. Save. Tracking item detail is displayed.
Rules:
  • Tracking group status is derived from the statuses of its member tracking items. It is:
    • ACTIVE - where at least one tracking item is 'active'.
    • COMPLETE - where all tracking items are either 'complete' or 'cancelled'.
To remove a tracking item from membership of a tracking group using the Maintain Tracking Groups form:
  1. Ensure that the correct tracking group is displayed in the context block.
  2. Select the tracking item to be removed from the group.
  3. Delete Record.
  4. Save.
