DESCRIPTION

Articulated Courses

 

Articulated courses are courses from which students can continue directly into a higher course. For example, an undergraduate course from which a student can continue directly into an undergraduate Masters course. Students may be required to not receive an award for the lower course in favour of receiving the higher course award at a later date. (Official definition of articulation is "A relationship between courses, normally as a result of deliberate course design, which facilitates and maximises opportunity for transfer between them, with or without credit.")

Ceremony Closing Date Alias

 

The last date on which graduands can be automatically allocated to the ceremony.

Ceremony Round

 

A period of time during which a set of graduation ceremonies is conducted. A ceremony round is directly represented in Callista by a calendar. The term can also imply the preparatory events and processes leading up to the ceremony period itself, together with the 'clean up' processes after ceremonies are held. Typically, institutions have two or three ceremony rounds during an academic year.

Ceremony Round End Date Alias

 

The end date of the period during which possible graduands are automatically identified and created for the ceremony round.

Ceremony Round Start Date Alias

 

The start date of the period during which possible graduands are automatically identified and created for the ceremony round.

Combined Degrees

 

In the context of the Graduations subsystem, combined degrees are courses leading to more than one award. For example, a Bcom/BSc degree leading to both Bachelor of Commerce and Bachelor of Science awards.

 Completion Period

 

A period, determined by either nomination or derivation, in which a student is likely to complete the requirements of a course. Each 'period' consists of a completion period and a completion year.

A ceremony round is associated with one or more completion periods. The graduand identification and creation process selects those student course attempts whose nominated and/or derived completion period matches one of those associated with the ceremony round.

Conferral (Date)

 

 The date an award is considered conferred. This might be the date Council approved graduation of the graduand or the date of the graduation ceremony. A conferral date can be applied by the system to a group of graduands or manually to individual graduands.

Convocation Member

 

Convocation is used here to mean an official body consisting potentially of all the graduates of the Institution together with other designated persons. Each institution can decide how the Convocation member checkbox is used. A typical use might be to record membership of an alumni association.

Government Honours Level

 

 Bachelor Honours levels as defined in the Automated Results Transfer System (ARTS) user manual or the prior element 352 in the DEST manual.

 Graduand

 

A student identified as eligible or potentially eligible to graduate in a particular ceremony round, and with a graduand record accordingly created.

Graduand Approval Status

 

Indicates whether formal approval to graduate has been received. Approval Status (in conjunction with graduand status and graduand type) indicates a potential graduand's progress towards graduating in a particular round. The effect of a Graduand Approval Status is determined by the System Graduand Approval Status with which it is associated. The system values are WAITING, APPROVED, REJECTED.

Graduand Status

 

Indicates the current 'state' of a graduand and is central in determining whether a graduand can graduate in a ceremony in a particular ceremony round. Its effect is determined by the System Graduand Status with which it is associated. The system values are POTENTIAL, ELIGIBLE, GRADUATED, SURRENDER.

Graduand Type

 

Graduand Types are system defined values assigned to graduands to define their graduation intentions. The Graduand Types and their meanings are:

  • ATTENDING - attending graduation ceremony to receive award
  • INABSENTIA - wishes to receive award, but not at a ceremony
  • ARTICULATE - award declined in favour of pursuing studies for a higher related course award
  • DEFERRED - wishes to receive award, but at an undefined ceremony in a later round
  • UNKNOWN - intentions not yet advised
  • DECLINED - award declined for other reasons

Graduation Cycle

 

The period of activity surrounding a ceremony round. The period typically includes the time from commencement of preparations for the graduation of students to the conclusion of follow-up activities once the ceremonies are over. The ceremonies typically take place over a few weeks toward the end of the cycle.

Graduation Location

 

A nominal location under which a set of graduation venues applicable to one or more campuses can be grouped. For example, city campuses A, B and C. Typically, each graduation location is associated with a single venue.

Graduation Note Type

 

Notes can be attached to graduation ceremony records to record extra information as required by the institution. To identify the purpose of a note, it must be assigned a note type. An example of a note type is GRAD-GUEST, which would be assigned to a ceremony note which listed official guests attending the ceremony.

Honours Level

 

The institution defined level of a Bachelor Honours award that may be granted to students. For example, the code H2B could be used to identify a Level IIB Bachelor Honours Award. Institution defined values may be mapped to government honours level values as defined in the Automated Results Transfer System (ARTS) user manual or element 352 in the DEST manual.

Order in Award

 

The position of a unit set group, within an award or course award, in the order of presentation of a ceremony. Here, unit set group typically means a major (eg. accounting) or group of majors (eg. accounting and marketing).

Order in Ceremony

 

The position of an award or course award in the order of presentation of a ceremony. Here, award typically means the award being presented to each in a group of graduands. For example, an award with an order of ceremony of 3, is the third award to be presented at a ceremony.

Order in Presentation

 

The position of a graduand in the overall order of presentation of a ceremony.

Special Award

 

An award other than a course or honorary award. Special awards include awards such as prizes and medals. Special awards may or may not be announced at graduation ceremonies.

 Testamur

 

The official printed document signifying conferral of an award.

Testamur Type

 

A Testamur Type typically represents a testamur with unique content and layout. For example, an institution may have a standard award course testamur and another non-standard testamur for joint awards. Each award is associated with a specific testamur type. Each testamur type must be mapped to a correspondence type, to allow the recording of mailed testamurs.

Unit Set Group

 

A method for subdividing a course award into unit sets or groups of unit sets. Enables the splitting of a course award across ceremonies and the presentation of graduands in order within their unit sets or groups of unit sets.

Venue

 

A site at which a graduation ceremony takes place. For example, a room, hall, stadium, theatre or similar. Each graduation venue is associated with a parent graduation location.
