The graduand approval status (in conjunction with graduand status and graduand type) indicates a potential graduand's progress towards graduating in a particular round. Approval is normally the ultimate signal that graduands may graduate, and final ceremony preparations are consequent upon it.

Approval may refer to formal Council approval or to approval from the academic organisational unit (AOU) concerned. An institution will determine which of these two options applies, as well as the timing for approval to be sought, depending on its particular management of graduation. Where approval is granted by the AOU, this may be at the same time as confirming that the student has completed all necessary course requirements.

A process to set approval 'en masse' for students in specified groupings is accessed from GRDF3200 (Manage Ceremony Graduands).

 

Use this form to create graduand approval status names chosen by the institution and map them to system graduand approval statuses. One or more institution defined statuses can map to each system status.

Statuses no longer required can be closed. Once assigned to a graduand record, a particular status cannot be deleted.

Notes/Rules:

  • Values for System Graduand Approval Status are WAITING, APPROVED, REJECTED.
  • Approval can be granted while the graduand status is equivalent to the system value POTENTIAL - i.e. approved subject to confirmation of completion of course requirements.
  • A graduand must be both ELIGIBLE (graduand status) and APPROVED (graduand approval status) in order to graduate.
