This report displays examination session details by location then unit and then date. It includes information on the number of students and accompanying supplied examination materials for all student examinations to be undertaken during a specified examination period.

Run Details

This job is run:

  • To ensure timely delivery of examination materials prior to examinations in overseas, national and local exam centres.
  • At any time deemed necessary for whatever reason.

This job is run prior to an examination period to provide information which can be used to:

  • Validate exam materials being packed to be sent to exam locations.
  • As a checklist for location/venue supervisors validating that all exam materials have been received.

This job can be run in both batch and online modes. Refer to the Job Control and Scheduling subsystem for details on scheduling and running batch and online jobs.

 

Job Parameters

Most parameters for this job are used to refine the data set produced in the report.

There are several text parameters that allow the user to specify the message. They are:

  • Instructions.
  • Declaration; and
  • Signature.

These parameters have default text messages inserted where no additions are entered. Text messages can be recorded in the Maintain Job Text from (JBSF4170).

The Return Organisational Unit and Return Address Type parameters list which organisational unit should be contacted if discrepancies are found in the packing list and where they can be contacted. These two fields are mandatory. Note: a valid return address type must be listed for the organisational unit.

The report is presented in landscape mode.

A page break is inserted after each location to separate the consignment receipt from the details in the body of the report.

For each assessment item, an examination paper is supplied for each student. Extra papers are included to cover students who may change exam locations at the last minute. Calculation of the number of exam papers is as follows:

  • For less than 100 students the calculation is ((no. of students * 0.1) + no. of students). For example: if there where 41 students who require exam papers:
    ((41*0.1)+41)=x
    5+41=46
    Note: all decimal values are rounded up to whole numbers.
  • For more than 100 students the calculation is (no. of students + 10). For example: if there are 203 students who require exam papers:
    (203+10)=213.

As with exam papers, extra supplied materials should be packed to cover any students who change their exam location at the last minute. Where a value quantity exists per student the method to calculate the number supplied is as follows:

  • For less than 100 students the calculation is ((no. of students * 0.1 + no. of students) * quantity) + quantity. For example: if there are 88 students who require 2 script books each:
    ((88*0.1+88)*2)+2=x
    (96*2)+2=x
    192+2=194
    Note: all decimal values are rounded down to whole decimals.
  • For more than 100 students the calculation is (no. of students + 10) * quantity + quantity. For example: if there are 147 students who require 4 sheets of graph paper each:
    ((147+10)*4)+4=x
    (157*4)+4=x
    628+4=632
  • If a value is not recorded for quantity it is assumed that the quantity is 1.
