CRSW0200 - Non Unit Sites

Overview

This page is used to create and maintain institution-defined Non Unit Sites. Non Unit Sites are not concerned with teaching or learning and are not used to host any learning content. They may be required for a number of different purposes such as: Course/Program Level sites, Faculty and School sites and Discipline and Collaborative Group sites.

Organisational Unit data must be sent to LMS before enrolments commence, to enable an Institution's admin staff to set up the structures needed in LMS prior to the start of the semester.

Navigation

Navigation for the Non Unit Site pages (CRSW0200) is shown below:

On accessing the CRSW0200 page, a list of Non Unit Site records is displayed.
For more information, see the Working with Lists overview Help page.

An existing Non Unit Site can be searched for, selected, viewed and, if necessary, updated.
Alternatively a new Non Unit Site can be created and saved.

In the definition a Non Unit Site, it may be necessary to define Sections. Within sections it may be necessary to select or create Criteria.


To Create a New Non Unit Site

New Non Unit Sites can be created in CRSW0200.

1. To create a new Non Unit Site, click on the New icon to open the New Non Unit Sites page in which you can create a new Non Unit Site.

2. Record details in fields as required. For field information, see Field Descriptions below.

3. Click on Create to create a Non Unit Site with a DEFAULT Section.
Or click on Create & Specify Sections to record additional Sections for this Non Unit Site.

4. If specifying sections, the Sections list will initially display with just the DEFAULT section code.
Click the New icon to record a new Section for this Non Unit Site.
For field information, see Field Descriptions below.

5. After Sections are recorded, click on Save and close.
On this page, click on Cancel to abort the creation of a new record and return to the list of Non Unit Sites.

These open source functions can be customised by the institution.


To Edit a Non Unit Site

Records listed in CRSW0200 can be edited if they are not Inactive.

1. To edit a Non Unit Site, click on the Non Unit Site's Name record.

2. Update the Non Unit Site as required.
Note that Non Unit Site Code, Primary Parent Org Unit, Secondary Parent Org Unit, Site Type and Default LMS Role cannot be changed.
Changes made to these records are controlled by configuration settings in CRSF0100.

3. Click Save and close to save changes or Undo Edits to undo them.

To View a Non Unit Site as it was previously saved

A full history of a Non Unit Site is maintained and available from this page

1. To view a Non Unit Site as it was previously saved, click on the Show Details as At ... icon.

2. A list of saved versions from the current record to the original record is displayed.

3. Select the instance that you wish to view and it will display.

A 'Details are as at: ... ' lamp is displayed on this page when viewed in History Mode.

To Delete a Non Unit Site

Records listed in CRSW0200 can be deleted.

1. To delete a Non Unit Site, select the record and then click on the Delete icon.
Note: A Non Unit Site cannot be deleted if it has been loaded to the institution's LMS.

Note: A 'deleted' Non Unit Site is logically deleted and will still be available for display when 'Show Deleted' is set to 'Y' in the Advanced Search.
Such logically deleted Non Unit Sites are available for historical purposes only and cannot be edited in any way.

Field Descriptions

The following table describes fields on the CRSW0210 page.

Field: Description:
Non Unit Site Code Unique code for the Non Unit Site generated by an custom source code function when the Non Unit Site is first created. This is used to construct the identifying codes for the Non Unit Site Course Template, Course Offering and Course Sections.
The custom source code function may need to be customised by individual institutions.

NON_UNIT_SITE.SITE_CODE
Non Unit Site Name User defined name for the Non Unit Site. Should be descriptive to allow for easy recognition of the purpose of the Non Unit Site. This name can be updated if required.

NON_UNIT_SITE.SITE_NAME
Primary Parent Org Unit The primary org unit for this Non Unit Site which is selected from a LOV which is populated by an custom source code view - NUS_PRIMARY_ORG_UNIT_V.
This value cannot be changed after the Non Unit Site has been created.
Org units are defined in ORGF0141.
The custom source code view may need to be customised by individual institutions.

NON_UNIT_SITE.PRIMARY_PARENT_ORG_UNIT_CODE
Secondary Parent Org Unit The secondary org unit for this Non Unit Site (Optional) which is selected from a LOV which is populated by an custom source code view - NUS_PRIMARY_ORG_UNIT_V.
Org units are defined in ORGF0141.
The custom source code view may need to be customised by individual institutions.

NON_UNIT SITE.SECONDARY_PARENT_ORG_UNIT_CODE
Site Type Site Types are defined in CRSW0210.
Site Types should give an indication of the purpose of the Non Unit Site and allow for site classification and easier searching for Non Unit Sites.

NON_UNIT_SITE.SITE_TYPE
Default LMS Role Describes the type of membership of the Non Unit Site. The student enrolment data extracted from the SMS will be assigned this default role when transferred to LMS. May be STUDENT or MEMBER.

NON_UNIT_SITE.DEFAULT_ROLE
Site Visibility May be ACTIVE or INACTIVE.
Sites are INACTIVE by default and must be activated to be available for LMS users. If a site is to be no longer available it should be set to INACTIVE.

NON_UNIT_SITE.SITE_VISIBILITY
Enrolment Status If set to ENABLED, it tells the SMS to extract enrolment data for the Non Unit Site and transfer it to the LMS. If set to DISABLED, then no enrolment data will be transferred.

NON_UNIT_SITE.ENROLMENT_STATUS
Start Date Indicates when the Non Unit Site will become active in the LMS.

NON_UNIT SITE.START_DT
End Date Indicates when the Non Unit Site will become inactive in the LMS.

NON_UNIT_SITE.END_DT
Loaded to SMS This value is automatically updated by the system. When this site is loaded into Callista SMS by GENJ1200, this indicator is set by the job.
If this indicator is selected, the non unit site cannot be deleted.

Sections

The following table describes fields for Sections in the CRSW0210 page.

Field: Description:
Section Code

Unique code for the Section generated by an custom source code function (CRSP_GET_CRS_SECTION_CD) when the Non Unit Site is first created. This custom source code function may need to be customised by individual institutions.

NON_UNIT_SITE_SECTIONS.SECTION_CD

Section Name Meaningful name that describes the purpose of the section.

NON_UNIT_SITE_SECTIONS.SECTION_NAME
Criteria Criteria can be units, courses or locations or a combination of all three.
Click on magnifier to display the Search Criteria pop up. Search for and add the required criterion record.
To add a second criterion click on the plus icon and search for another Criterion.
To remove a Criterion, select the record and click on the minus icon.

NON_UNIT_SITE_SECTION_CRITERIA.CRITERIA
Enrolment Status ENABLED tells the SMS to extract enrolment data for the section and transfer it to the LMS. If set to DISABLED, no enrolment data will be transferred to the LMS.

NON_UNIT_SITE_SECTIONS.ENROLMENT_STATUS
Closed Selected if this Section record is closed.
