Field Name Description
Action Date Is the date calculated by the system, or entered by an item originator, by which a tracking step should be completed. It is calculated initially using the Tracking Item Start Date and Business Days Only indicator, and the Tracking Type Step Action Days value. For sequential steps, the Completion Date of the previous step is taken into account.
Action Days Specifies the normal maximum number of days to complete a tracking step for tracking items of this type. This value, in conjunction with Sequential and Business Days Only indicators, is used in calculating the action date of the step.
Business Days Only indicator Specifies whether calculation of the tracking item Completion Required By date and tracking steps' action dates take account only of business days.
By-pass indicator Determines whether an item's tracking step is to be by-passed. If a step is by-passed, action dates of subsequent steps are recalculated.
Completion Date (of Tracking Item) Is set automatically by the system when the last step is completed.
Completion Date (of Tracking Step) Is the date on which action was completed for the tracking step.
Completion Required By Derives from the target days set for each tracking type, and takes into account the value of the Business Days Only indicator.
Early Exit Allows an originator to 'sign off' an item before all steps have been completed.

Recipient Gives the Callista registration ID and name of the person to whom the tracking item is sent for a particular step.
Sequential indicator Determines whether an item's tracking steps must be completed in sequence, and whether calculated action dates for steps are progressive.
Start Date (of Tracking Item) Is the system-supplied date when the item was initiated. It cannot be altered.

Step Complete indicator Is set by the step's recipient or the tracking item's originator when the step has been completed.
System Tracking Status Is a system defined status which can have the values ACTIVE, CANCELLED, COMPLETE.
System Tracking Type Is a value recognised by the system for specific functionality. Each institution defined tracking type is matched to a system tracking type.
Target Days Is entered for a tracking type to indicate the maximum number of days that a tracking item of that type should take to complete all steps. It is used by the system, in conjunction with the Business Days Only indicator, to calculate the Completion Required By date for an item.
Tracking Group ID Is an institution defined code identifying a group of tracking items. For example, all applications for admission to a particular course in a particular year could be grouped under one ID.
Tracking Group Status Is derived by the system from the statuses of the group's member items. Values are:
  • ACTIVE - if any of the items are active
  • COMPLETE - if all items are either completed or cancelled.
Tracking ID See Tracking Item ID
Tracking Item Is a document or process as monitored by the Tracking subsystem.
Tracking Item Group Membership Is the membership of a tracking item in a tracking group or groups.
Tracking Item ID Is a system generated unique number identifying an item that is being tracked.
Tracking Item Originator Is the name and number registered with Callista (Person ID) for the person who created a tracking item.
Tracking Item Subject Is the name and number registered with Callista (Person ID) for the person who is the subject of the tracking item. Typically, this is a student. For example, if a 'special consideration' application is being tracked, the student who submitted the application is the subject.
Tracking Note Type Identifies the type of note within the Tracking facility.
Tracking Status Is an institution defined status which corresponds to a System Tracking Status value. For example, a status CURRENT could map to the system status ACTIVE.
Tracking Step Is an activity required in the processing of a tracking item, and identified by a system generated number. The number represents an imposed order for step completion if the Sequential indicator is set. If not, tracking steps can be completed in any order.
Tracking Type Is an institution defined type used to assist in identifying and classifying items being tracked. These map back onto system defined tracking types recognised for system functionality.
Tracking Type Step Is identified by a system generated number. Type steps are used as the default for the stages in the tracking process of items of that type.
