Purpose

To transfer deferred Graduands from a Ceremony Round to another Ceremony Round

Update Process

This module transfers any deferred graduands from a ceremony round to another round. It transfers deferred graduands to a ceremony round as specified in the parameter selection for the procedure by creating a new GRADUAND record for them with the selected parameter ceremony round becoming the ceremony round in the new record.

Method

GRDJ3500 runs only in batch mode, through the Job Control & Scheduling Subsystem.

Timing

The recommendation is to run this job after the end of a Graduation round or at the start of the next round. At least one future ceremony round must have been created with a Processing End Date greater than today when the job is run.

Rules/Notes:

In order for this job to run, at least one future ceremony round must have been created with a Processing End Date greater than today.

The Graduand Status can only be set to those Graduand Statuses with a System Status of POTENTIAL.

When creating a new Graduand record in the new Ceremony Round from the old record, Testamur Delivery Method are also reflected in the new record if they exist in the old record.

If the Testamur Delivery Method is closed (opposite validation) at the time the record is going to be copied, then the following errors will be displayed:

• Person ID
• Testamur Delivery Method
• Error message from the validation

Check the run log if the job has failed as records may have been committed with the exception of some students. Correct the information and re-run the job.

All updates are recorded in Graduand History and can be viewed via AUDF3161.

Rules/Notes:

Validations include:

• A closed Testamur Delivery Method can not be selected for use against a Graduand record
• If a Graduand with a System Graduand Status of GRADUATED is transferred to another ceremony round, a warning will display in the job run log.
