GRDJ3140 - Assign Graduand Status

Purpose

To determine whether Graduands are academically eligible to graduate, and set their Graduand Status accordingly

Update Process

The job accesses Graduand records created by running GRDJ3100 (Identify and Create Graduands) or by entering individual Graduands in GRDF4200 (Maintain Graduand Details).

An institution may have defined multiple statuses for the System-defined Statuses of POTENTIAL and ELIGIBLE. Where this is the case, the updated status values referred to (after the running of the job) are those that have been selected through the setting of the job parameters.

For Graduands with the System-defined Status of POTENTIAL, the process checks the value of the Course Requirements Complete check box (an attribute of the Student Course Attempt, set in the Complete Student Course Attempts form - PRGF4170). For those Graduand records where the check box is now set, Graduand Status is updated to the parameter value selected for Eligible Graduand Status.

For Graduands with the System-defined Status of ELIGIBLE, the process checks the value of the Course Requirements Complete check box. Where the check box is not set (because it has been changed since the prior running of the job), the Graduand Status is updated to the parameter value selected for Potential Graduand Status.

GRDJ3140 runs only in batch mode, through the Job Control & Scheduling Subsystem.

Timing

It is recommended that this job be set up as a standing request to run nightly during the processing for a Ceremony Round.

Rules/Notes:

Two parameters (Eligible Graduand Status and Potential Graduand Status) are required for the running of this job.

From the list of values, select the institution-defined Graduand Status which indicates:

  • For the first parameter, eligibility to graduate (a status linked to the System Status of ELIGIBLE)
  • For the second parameter, potential eligibility to graduate (a status linked to the System Status of POTENTIAL)
