Purpose

To enable institutions to extract information about individual Student Course Attempts (SCA) to determine whether the SCA has the most appropriate Funding Source.

This function enables institutions to write information to a .csv file about individual SCAs to determine whether or not a student should be granted an exemption to a Funding Source.

Institutions are able to select:

  • the Fund Source, Course Category or Course for which to create the file,
  • the age of the student at the SCA commencement date, and
  • whether the SCA has been granted an exemption to have the Funding Source recorded.

Institutions are also able to include a previous education records check. This includes any information about previous education that the student has attained, such as Advanced Standing, previous Course Attempts and records of prior education attained.

Extract Details

The output of the job is a csv file that includes the following data:

•           SCA details
•           Course Category  (COI Override default or Course Version default)
•           Funding Source (course attempt)
•           Whether a Funding Source exemption has been granted and the reasons for the exemption
•           The student details (including the student’s age at the SCA commencement date)
•           The student’s previous education records

Only Student Course Attempts with a status of INACTIVE and ENROLLED are included in the extract.

It is possible to use existing SMS functionality to generate an XML file, which can be used to generate a report. To do this, firstly create the extract by running the job. Then use the Generate Extract XML File job (GENJ1000) to select the extract that has been created and change the extract format to XML. The XML file will contain all the records included in the extract. The XML tags will be named after the columns that appear in the S_EXTRACT and S_EXTRACT_RECORD tables. The XML file can then be emailed as an attachment using standard Callista Job Scheduler functionality.

Run Details

This job must only be run in the Scheduled mode, through the Job Control & Scheduling subsystem.

  • Funding Source (LOV)
  • Course Code
  • Course Category (LOV)
  • Enrolment Period (LOV)
  • Age Range From
  • Age Range To
  • SCA Commencement Date From/To
  • Include Recorded Exemptions (check box)
  • Include Previous Education (check box)
  • Buttons
