Update Process

Transfer is performed from specified Unit Offering Options to another single Unit Offering Option, for the group of students specified by the student selection parameters. Each student's Unit Attempt is changed to the New Offering Option and a history of the move is stored.

While processing the transfer, a number of validations are performed:

  • Check if the selected student is already in the Unit Offering Option to be transferred to.
  • Validate that the New Unit Offering Option exists and is allowable for transfer.
  • If the Unit Attempt Status is not UNCONFIRMED, check that the student is able to enrol in the unit. For example: student is not excluded from the unit, student has not already satisfied unit through Advanced Standing.
    • If any of the above validations fail, the record is not transferred.
  • Determine if the New Unit Attempt is in line with the students Forced Location or Mode.
    • If the above validations fail, the record is still transferred.

After the transfer is performed, a number of checks are performed:

  • Rule checking for units associated with student's course.
  • Course related checks are performed. e.g. the transferred record does not violate any Superior/Subordinate Unit relationships.
    • If such a check fails, the alterations to the Student Unit Attempt are rolled back.
  • Check that the student hasn't breached any cross-element restrictions and that the student is in line with their Forced Attendance Mode.
    • If either of the above checks fails, the transfer is still performed.
  • If a student has encumbrance restrictions, then a warning will display in the Bulk Unit Offering Option Transfer Exception report, but their transfer will proceed.

This job can be run in immediate mode or batch mode through the Job Control & Scheduling subsystem.

The circumstances under which it is used are dependent on institution policy and procedures.

  • Report Level
    Allows the person running this job to determine whether the Execution/Exception Report lists errors only, errors and warnings or errors, warnings and information. This field is mandatory.

  • Previous Log
    Allows the Execution/Exception Report from previous runs of this job to be reproduced. If this parameter is used, all other parameters except for report level are ignored.

Or a combination of the following Parameters ...

  • Teaching Period
    Defines the specific Teaching Period from which Student Unit Attempts are selected for transfer. This field is mandatory.

Student Selection Parameters

  • Course Code
    Limits the group of Student Course Attempts selected for transfer.
  • Location
    Limits the group of Student Course Attempts selected for transfer to those in Offerings at the specified location.
  • Attendance Mode
    Limits the group of Student Course Attempts selected for transfer to those in Offerings with the specified course attendance mode.
  • Attendance Type
    Limits the group of Student Course Attempts selected for transfer to those in Offerings with the specified Course Attendance Type.

  • Person ID Group
    Limits the group of Student Unit Attempts selected for transfer to those for students whose ID number is a member of the specified Person ID Group.
  • Unit Code
    Identifies the unit within which students are transferring between Offering Options. This field is mandatory.
  • Version Number
    Limits the group of Student Unit Attempts selected for transfer to those within a particular version of the unit.
  • Unit Location Code
    Limits the group of Student Unit Attempts selected for transfer to those in Offerings at the specified Location
  • Unit Class
    Limits the group of Student Unit Attempts selected for transfer to those in Offerings in the specified Class
  • Unit Attempt Status
    Limits the group of Student Unit Attempts selected for transfer to those within a status which matches one of those specified here. Up to three Unit Attempt Statuses can be specified. Mandatory to supply at least one.

New Unit Offering Option Details

  • Version Number
    Specified only where Student Unit Attempts are being transferred between different versions of a unit.
  • Unit Location Code
    A Location Code specified here becomes the Location Code of the Student Unit Attempts created by this process. Leaving this parameter blank results in each new Student Unit Attempt having the same Unit Location Code as the Unit Attempt it is replacing.
  • Unit Class
    A Unit Class specified here becomes the Unit Class of the Student Unit Attempts created by this process. Leaving this parameter blank results in each new Student Unit Attempt having the same Unit Class as the Unit Attempt it is replacing.

Rule/Notes:

System (or control) parameters control the output of the report produced by this job and are common to most reports. Refer to All About Standard Reports for more information. These parameters can be set as required each time the job is requested.

 

 

 

 

 

Student Selection Parameters. These parameters are used to target specific groups of students to be transferred between Unit Offering Options. They can be combined as required.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

New Unit Offering Option Details. These details identify the Unit Offering Option which the selected group of Student Unit Attempts is to be transferred to. At least one of these parameters must have a value specified. When parameters are left blank, the System creates the new Student Unit Attempts using the values from the original Unit Offering Option(s) which correspond to the blank parameters.

For example, if a Student Unit Attempt selected by the student selection parameters has the attribute 'Unit Location Code = X', and the Unit Location Code parameter is left blank, the New Student Unit Attempt will also be of Unit Location Code = X.

A valid Offering of the Unit Corresponding to the specified parameters must exist, otherwise the transfer cannot take place.
