Update Process

This is a clean-up process that lapses Student Course Attempts that have been made INACTIVE prior to the Lapse Date Alias. From the Lapse Date to the end of the Academic Period, records are not lapsed. A new job scheduler request would be established in the next Academic Period.

The process looks at all INACTIVE Student Course Attempts within an Academic Period. For each INACTIVE record, a Lapsed Date is inserted and the Student Course Attempt Status is changed to LAPSED.

There are two exceptions to this process where INACTIVE Student Course Attempts are not lapsed. They are where the student has been pre-enrolled in the Academic Year and:

  • The Enrolment Form Due Date (established in ENRF01F0) for the Pre-enrolled Enrolment Period has not yet passed, including any specified Grace Days; or
  • The student has an Override Form Due Date (set in ENRF5F00) that has not yet passed, including any specified Grace Days.

Student Course Attempts lapsed in this process can be reset to INACTIVE by deleting the Lapsed Date in the Record Enrolments form (ENRF3000). Run Details

The job is typically scheduled to run as a standing request weekly in the Job Scheduler.

This job is run to clean-up INACTIVE Course Attempts that have occurred where a student has discontinued all current units part way through the year and has not applied for and been granted an intermission. It is assumed that the majority of Student Course Attempts are made INACTIVE following completion of a year's study and prior to re-enrolment for the new Academic Period. Using the Lapse Date Alias prevents these valid Course Attempts from being lapsed.

Each time this job runs, it checks to see if the current Date is less than the Lapse Date Alias. If the current Date is less, the update process is performed. If the current Date is greater than the Lapse Date, INACTIVE records are not updated. The Lapse Date Alias Instance value would normally be towards the end of an Academic Period.

Rule/Notes:

Related/Dependent Jobs are dependent on the Lapse Date Alias

Most parameters in this job are used to restrict the set of records to which the process is applied.

The Grace Days parameter is set to prevent INACTIVE Student Course Attempts from being lapsed within the specified number of days past the Enrolment Form Due Date and Override Form Due Date.

Selecting the Log Creation Date parameter allows for the re-running of a previous report. When selected, all other parameters are ignored.

Rules/Notes:

A report of all Student Course Attempts Lapsed in this process is produced. At this time, no correspondence is generated informing the student that their Course Attempt has been lapsed.
