Unit Version

The Unit Version block (context block) displays the current Unit Version record (context record) from the Maintain Basic Unit Details form. The displayed records in the Unit Reference Code block are the alternative Reference Codes by which the context Unit Version may be identified.

For example, when a unit is displayed in the Maintain Basic Unit Details form, the Other Unit Details button selected and the Unit Reference Codes button selected, then this form will display that same unit as the context record and any existing Reference Codes relating to this record will be displayed.

Unit Reference Code

Each Unit Version is identified within the System by its unique combination of Unit Code and Version Number. This form is used to record alternative Reference Codes to identify a Unit Version for other specific purposes. This feature is particularly useful for recording codes used by other systems to identify a Unit Version.

For example, an interactive voice response (IVR) system may use numerical codes to identify Unit Versions. In SIS, the same Unit Version may be represented by an alphanumeric Unit Code and a version number. Using the Maintain Unit Reference Codes form it is possible to record the IVR code against this system's Unit Code and version number to provide a link between the two systems.

This form can be accessed through Other Unit Details button in CRSF2210, then the Reference Codes arrow from the overlay.

The Unit Version block contains:

  • Unit Code
  • Version Number
  • Unit Status
  • Title

The Unit Reference Code block contains:

  • Reference Code Type
  • Reference Code
  • Description

Rules/Notes:

Validations:

  • The Reference Code length must be less than or equal to 10 characters when the System Reference Code Type is RPT-CODE.
  • Only one open Unit Reference Code for RPT-CODE may be recorded for a Unit Version.

The System Reference Code Type of RPT-CODE enables institutions to define an alternate code to be reported (in VET FEE-HELP Reporting) to DIISRTE for units that are longer than 10 characters. (Note: VET units can have a code length of up to 20 characters in Callista, however, DIISRTE only accepts a maximum code length of 10 characters for units.)

To inquire on the Unit Reference Codes of a Unit Version other than that initially displayed:

This block does not permit a query to be entered. It is necessary to:

  • Return to the Maintain Basic Unit Details form.
  • Select the Unit Version for which Unit Reference Codes are required.
  • Select the button for Other Unit Details.
  • Select the button for Unit Reference Code.

To record a Unit Reference Code against a Unit Version using the Maintain Unit Reference Codes form:

  • Enter Insert Mode.
  • Select the Reference Code Type for the Reference Code being recorded, from the list of values (or enter a valid value) in the Reference Code Type field of a blank record.
  • Enter the alternative code in the Reference Code field.
  • Enter a meaningful Description of the Reference Code in the Description field.
  • Save.

Rules/Notes:

Reference Code Type must not be CLOSED.

To modify a Unit Reference Code of a Unit Version using the Maintain Unit Reference Codes form:

  • Find the record to be modified.
  • Change the Description as required.
  • Save.

Rules/Notes:

The Reference Code Type and Reference Code fields are protected against update. It is not possible to modify existing records in this form other than to change their Description. A Reference Code can, however, be deleted from a Unit Version.

To delete a Unit Reference Code from a Unit Version using the Maintain Unit Reference Codes form:

  • Ensure that the correct Unit Version is displayed in the Unit Version block.
  • Select the desired Unit Reference Code record (ie. Reference Code Type) record.
  • Delete record.
  • Save.
