Purpose

The ability to recording of the Details of a Pattern Of Study

This form is accessed only from CRSF1441. The documentation for that form should be read first. 

Each Pattern Of Study recorded in CRSF1441, must have detail recorded in this form. This detail includes: 

• Against each Pattern Of Study, the Teaching Periods within the Academic Periods in which the pattern's units are to be pre-enrolled. 
• Against each Teaching Period, the units to be pre-enrolled for that Teaching Period (or the unspecified units [e.g. optional units, electives] for the Teaching Period).

Example 1

A number of Patterns Of Study are set up for a three year full time course using form CRSF1441. One of these has the Number Of Periods set to 1 and the Admission Calendar set to ADM-PER-2 (admission period 2 - being the admission period for the mid-year intake). The latest approved Academic Calendar Instance is recorded as the Academic Year 2005. No other attributes are set, meaning that this Pattern Of Study applies to all offerings of the course in ADM-PER-2. With this Pattern Of Study selected, the Pattern Of Study Period button is selected to navigate to this form.

Each of the Teaching Periods for the typical duration of the course is recorded against the number of the Academic Period in which it falls. In this case, the pattern starts with a mid year intake, so against Academic Period 1 is recorded Teaching Period SEM-2 (Semester 2) . Against Academic Period 2 is recorded both SEM-1 and in the next record SEM-2 and so on until the last record - Academic Period 4, SEM-1 - is recorded. When this Pattern Of Study is used for students admitted to the course in the 2002 instance of ADM-PER-2, the Pattern Of Study applies as shown in the following table. 

For each Pattern Of Study Period record, the units to be pre-enrolled in the Pattern Of Study Period are recorded. These units are generally 'core' or 'mandatory' units, but unspecified units such as optional units and electives can also be recorded (their description only). For example, by recording units against Academic Period 2, SEM-2 in the example above, when pre-enrolment is performed for the year 2003, students continuing in the course will be pre-enrolled in the units.

If the course in this example also has a part-time offering, and the institution performs pre-enrolment for part-time courses, then Pattern Of Study Periods would need to be set up for more than four Academic Periods and the units applicable to each period recorded against them. (This would only be of use where there is a prescribed Pattern Of Study for the part-time course)

Example 2

A course commencing at the start of an Academic Year includes year long units and straddle units (e.g. units commencing in Semester 2 and finishing in Semester 1 of the following year). The creation of Patterns Of Study for this course uses the same method as for example 1.

The Patterns Of Study in this case differ in that the year long and straddle Teaching Periods must be recorded for each Academic Period number with units offered in these Teaching Periods. I.e. Academic Period number 1 now has Teaching Periods SEM-1, SEM-2, YR-LONG and S2-E1 recorded against it. This is repeated for Academic Period number 2 if it also has year long and straddle units commencing in it, and so on. Against each Pattern Of Study period is recorded the units applicable to that period.

The table below illustrates, for the first two years of the course, how Pattern Of Study periods are set up for a full-time course with straddle and year long units. This example is for students admitted to the course in the 2002 instance of ADM-PER-1.

Example 2, Pattern Of Study periods (first 2 years only)

This form can be accessed through the Course Offering button in CRSF1210, then the Patterns Of Study button in CRSF1300, then the Pattern Of Study Period button in CRSF1441.

Recording Pattern Of Study Details 

Select the required Pattern Of Study in CRSF1441 and use the Pattern Of Study Period button to navigate to this form. The context Pattern Of Study is displayed in the top block. Queries cannot be executed in this block. It is necessary to return to CRSF1441 to query another Pattern Of Study. 

Record the Pattern Of Study Periods applicable to this Pattern Of Study.  

The Academic Period numbers are the numbers of the Academic Years in which Teaching Periods relate to this Pattern Of Study. I.e. Each Academic Period number corresponds to an Academic Year in which a student is expected to enrol when progressing 'normally'.

For example 1. A full-time three year degree commencing mid year would involve Teaching Periods in Academic Years 1, 2, 3 and 4. Where two or more Teaching Periods related to the Pattern Of Study occur in the same year (e.g. Semester 1 and Semester 2), two or more records with the same Academic Period number must be created (see the examples above).

For example 2 A full-time three year degree with an intake at the start of the year would involve Teaching Periods in Academic Years 1, 2, and 3 only.

For example 3. A part-time course with a prescribed Pattern Of Study over six years could involve Teaching Periods in Academic Years 1, 2, 3, 4, 5 and 6.

The Teaching Calendar details are used to record each of the Teaching Periods within the Academic Periods related to the Pattern Of Study. In example 1 above, year 1 (Academic Period 1) only has Teaching Period SEM-2 (Semester 2) in it. Year 2 (Academic Period 2) has Teaching Periods SEM-1 and SEM-2 (Semesters 1 & 2) in it. If straddle or year long units were included in each year of the course, Teaching Periods such as S2-E1 or YR-LONG may also need to be recorded against the Academic Periods.

The Description field provides for the optional entry of a description of the Pattern Of Study period. (e.g.YEAR 1 - Semester 1)

For each Pattern Of Study period, record the units in which students should be pre-enrolled for that period. I.e. Students would be pre-enrolled in a particular set of units in Academic Period 1 - SEM-2 and another set of units for Academic Period 2 - SEM-1, and so on. Unit location and class may also be specified. If specified, they are used by the pre-enrolment process (if matching Unit Offering Options exist) to select the Unit Offering Option in which to pre-enrol students. If not specified, the pre-enrolment process uses an algorithm to determine which, if any, Unit Offering Option to enrol students in.

The units must have at least one ACTIVE version. Validation messages advise where there are no Unit Offering Options of a unit in future Pattern Of Study periods with matching location or class. 

In addition to recording specific units, 'unspecified' units can be recorded. This is achieved by entering text in the Description field only of a Pattern Of Study Unit record. This text is then used in the Enrolment Form Extract (ENRJ3161). A typical entry might be 'ANY LEVEL 1 UNIT FROM ANOTHER FACULTY'.

Rules/Notes:  

A unit would not normally be recorded against more than one Pattern Of Study Period unless it has its Repeatable check box set.

For each Pattern Of  Study Period record, a Unit Code or description must be inserted, but not both. The Description field is typically  used to record unspecified units such as options and electives.
