Purpose

This form allows an institution to define a collection of Email Substitution Tags that will be available for use when defining Email Types

The name of each substitution tag can be defined by the institution and mapped to a System Email Substitution Type which will return a specific database value.

The following System Email Substitution Types are supplied for use by an institution:

• Applicant ID (Username) - AP-USRNAME
• Applicant First Given Name - AP-FRST-NM
• Closed Title - AP-TITLE
• Given Name - AP-FRST-NM
• New Value End - NEW-VL-END
• New Value Start - NEW-VL-ST
• NVL(Preferred Name, First Given Name)
• Old Value End - OLD-VL-END
• Old Value Start - OLD-VL-ST
• Other Given Names - AP-OTHR-NM
• Password - AP-PASSWRD
• Person Given Name from the Person Table - PE-GVN_NM
• Person ID - PERSON-ID
• Person Title from the Person Table - PE-TITLE
• Person Surname from the Person Table - PE-SURNAME
• Preferred Given Name Only -AP-PREF-GN
• Preferred Formatted Name (Concatenated Names with order based on name format components if recorded) - AP-PREF-NM
• Preferred (or First Given) Name - AP-PREF-FN
• Prompt End - PROMPT-END

The Email Substitution Tag block contains:

• Email Substitution Tag
• Description
• System Email Substitution Tag (LOV)
• Closed check box
• Defined SQL Text

Rules/Notes:

The following System Email Substitution Tags will have generic tags created and are logged to the Self Serve Transaction Log and Self Serve Transaction Detail. They are:

• Transaction ID
• Self Serve Application Description
• Person ID
• Surname
• Given Names
• Title

When the function that issues the email encounters the RECEIPT-BD tag, it goes to the Connect Receipt Application. It then collects the applicable part from the receipt template and formats the body of the email. Therefore, an Administrator wanting to reuse the receipt can do so using this tag.

Rules/Notes:

System Email Substitution Types that are prefixed with a:

• AP - come from the Application table
• PE - come from the Person table
• NEW - are used in Transaction Management
• OLD - are used in Transaction Management
• PR - are used in Proposals

System email tags that are suffixed with a:

• END - ending tag and is used in Transaction Management
• ST - starting tag and is used in Transaction Management

Transaction logging may also use:

• PROMPT - ST
• PROMPT - END
• NEW - VL - ST
• NEW - VL - END
• OLD - VL - ST
• OLD - VL - END
• RECEIPT - BD
