Tracking Item explanation

This form is used to:

  • Add a Tracking Item to membership of one or more Tracking Groups
  • Remove a Tracking Item from membership of a Tracking Group
  • Monitor progress of a Tracking Group

Tracking Items are created and modified in the Maintain Tracking Items form (TRKF2100). Progress of individual items is also monitored there.

Tracking Groups are created and maintained in the Maintain Tracking Groups form (TRKF1600).

This form is accessed via a navigation button in TRKF2100. The Tracking Item displayed in TRKF2100 becomes the context record in this form. Queries cannot be performed in this block. Return to TRKF2100 to query another Tracking Item.

Tracking Item Group Membership explanation

Individual Tracking Items with common characteristics can be made members of Tracking Groups. This permits group progress to be monitored. This block is used to add the context Tracking Item, displayed in the block above, to membership of one or more groups. Tracking Items can also be deleted from membership of a Tracking Group.

Tracking Groups are created using the Maintain Tracking Groups form (TRKF1600)

 

The Tracking Item block contains:

  • Tracking ID
  • Tracking Type
  • Tracking Status

The Tracking Item Group Membership block contains:

  • Tracking Group ID
  • Description
  • Tracking Group Status

Rules/Notes:

Tracking Items can be grouped according to a common characteristic such as:

  • All special consideration applications for unit MMA101.
  • All advanced standing applications received in week ending 6 March 1997.
  • All admission applications for course SC101, in 1998.

To add a Tracking Item to membership of a Tracking Group using the Maintain Tracking Item Group Membership form:

Select the required Tracking Item in TRKF2100  and navigate to this form by selecting the Group Membership button.

In Insert mode:

  • Select the required Tracking Group from the list of values (or enter a valid Tracking Group code) in the Tracking Group ID field
  • Save. The Tracking Group status is derived and entered by the System
Rules:

Tracking Group status is derived from the statuses of its member Tracking Items. It is:

  • ACTIVE - where at least one Tracking Item is 'active'.
  • COMPLETE - where all Tracking Items are either 'complete' or 'cancelled'.

To remove a Tracking Item from membership of a Tracking Group using the Maintain Tracking Item Group Membership form:

  • Ensure that the correct Tracking Item is displayed in the context block
  • Select the Tracking Group from which the item is being removed.
  • Delete Record
  • Save
