Description

Address Type

Is an institution defined classification of addresses. A person or physical entity (such as a Location or Organisational Unit) may have a number of addresses, each of which is assigned an Address Type. Examples of Address Types are POSTAL address and INSTITUTE address.

Child Organisational Unit

In an Organisational Unit relationship is the subordinate Organisational Unit. For example, in a faculty - school relationship the school is the child of the faculty. See also parent/child relationship

End Date - Institution Address; Location Address; Organisational Address

Is the Date from which an address is no longer effective for an institution, Location or Organisational Unit.

End Date - Organisational Unit

Is the Date from which the Organisational Unit is no longer effective within the System.

Government Institution Code

Is the unique code allocated to each Australian tertiary education institution by the Department of Education, Training and Youth Affairs (DEST). These codes are listed in an Appendix to the Technical Documentation for the Higher Education Student Collection. The mapping of an institution to a Government institution code is optional, but is recommended if a DEST equivalent institution exists.

History End Date - Institution History; Organisational Unit History

When changes are made to institution or Organisational Unit information, the previous information is kept as a history record. This date/time marks the end of the period when that information was current.

When changes are made to institution or Organisational Unit information, the previous information is kept as a history record. This Date/Time marks the start of the period when that information was current.

Institution Address

One or more addresses, each of a different type, may be recorded for an institution. Campus Address, Correspondence Address and Institution Address could be examples of the different addresses for an institution.

Institution Code

Is the unique code for an institution, defined by the institution. These institutions normally relate directly to the DEST (Government) set of institutions, however other institutions relevant to the business of the organisation may also be created. An institution is optionally mapped to a Government Institution Code.

Institution History

Is the chronological record of changes made to the data defining an institution.

Institution Status

Is a status which indicates the level of activity of the institution. Statuses are institution defined, and each maps to a System Institution Status (ACTIVE or INACTIVE) which is recognised by the System for functionality.

Local Institution

Indicates whether or not the current institution is designated as the 'home' institution for the purposes of reporting related Organisational Unit, course and student data to DEST. Normally, only one institution is identified as the 'home' institution by selecting this check box.

Location

An institution may conduct business at a number of physical locations. A particular campus or study centre would be an example of a location.

Location Code

Is the code of a physical location owned or used by an institution. Each location has a Location Type, such as CAMPUS, which defines its use in the System.

Location Type

Is an institution defined classification or grouping of Locations, such as 'campus' or 'study centre'. Each Location Type is optionally mapped to a System Location Type to enable the System to determine any associated functionality.

Member Type

Is an institution defined classification of Organisational Units by structure level. Each Organisational Unit must be assigned a Member Type. Examples are FACULTY, SCHOOL, DEPARTMENT and DIVISION.

Name (of Institution)

The user defined name of an institution, optionally mapped to a Government or DEST-defined institution. The name may or may not be identical to the name of the Government institution to which it is mapped.

Org Unit Code (Organisational Unit Code)

Is an institution defined code for the Organisational Unit. An Organisational Unit is uniquely identified by the combination of its code and Start Date. See also Organisational Unit

Organisational Address

An Organisational Unit may have one or more addresses, each of a different type. For example, an administrative branch may have a Postal Address and a Street Address.

Organisational Status

Is an institution defined name of the Organisational Unit Status. An Organisational Unit Status indicates the level of activity of an Organisational Unit record. Each must be mapped to a System Status ACTIVE or INACTIVE.

Organisational Type

Organisational Types are business category classifications of Organisational Units, defined by an institution. Each Organisational Unit must be assigned an Organisational Type. Examples are ACADEMIC and ADMINISTRATIVE.

Organisational Unit

An Organisational Unit is a business unit of an institution or organisation. Common Organisational Units in tertiary institutions are faculties, schools, departments and divisions.

Organisational Unit History

Is the chronological record of changes made to the data defining an Organisational Unit.

Organisational Unit Location

Is the physical location of an Organisational Unit. An Organisational Unit may be associated with multiple locations. Each location has a Location Type, such as CAMPUS, which defines its use in the System.

Overseas

Indicates an institution based outside Australia.

Owning Location

In a Location relationship is the superior Location. For example, a university's Location may be the Owning Location of its campuses' Locations. A Location may have multiple Owning Locations. See also parent/child relationship

Parent Organisational Unit

In an Organisational Unit relationship is the superior Organisational Unit. For example, in a faculty - school relationship the faculty is the parent of the school. See also parent/child relationship

A record in the System can be linked to other records in a one-to-one or one-to-many relationship. The linked records may be in a Superior (parent) or Subordinate (child) relationship to it. In this way, the System represents real life structures. For example, a faculty comprising several schools can be represented in the System as 'children' schools of a 'parent' faculty.

Start Date - Institution Address; Location Address; Organisational Address

Is the date from which an address becomes effective for an institution, Location or Organisational Unit.

Start Date - Organisational Unit

Is the Date on which an Organisational Unit becomes effective within the System. An Organisational Unit is uniquely identified by the combination of its code and Start Date.

Sub Location

In a Location relationship is the subordinate Location. For example, the Location of a campus may be a Sub Location of the university Location to which it belongs. A Location may have multiple Sub Locations. See also parent/child relationship

System Institution Status

Defines the level of activity of an institution in terms recognised by the System. Each user-defined institution status must be mapped to a System Status (INACTIVE or ACTIVE).

  • Active institutions are those against which new data may be entered.
  • Inactive institutions are those which are closed to the entry of new data other than for the maintenance of the institutions' address details.

System Location Type

Defines the grouping or classification of Locations in terms recognised by the System to enable it to determine any associated functionality. Each Location Type is optionally mapped to a System Location Type such as CAMPUS.

System Organisational Status

Defines the level of activity of an Organisational Unit in terms recognised by the System for the enabling of functionality. Each Organisational Unit status must be mapped to a System Status of ACTIVE or INACTIVE.

  • Active Organisational Units are those against which new data may be entered.
  • Inactive Organisational Units are those which are closed to the entry of new data other than for the maintenance of the Organisational Units' address details.
