Purpose

To remove Graduand records for any Graduand who did not graduate, or did not gain approval to graduate in the target Ceremony Round

Update Process

For the nominated Ceremony Round (set as the job parameter), this process deletes those Graduand records which have a System defined Graduand Status of POTENTIAL, together with any dependent Graduand Award Ceremony Records. Note that Graduand Statuses are institution defined, so multiple statuses may be linked to the system status of POTENTIAL.

GRDJ3300 runs only in batch mode, through the Job Control & Scheduling Subsystem.

Timing

Graduand records are created within a particular Ceremony Round. The earliest that this job should be run is after completion of procedures to approve Graduation for Graduands in the round. However, where an institution grants approval subject to completion, be aware that records for Graduands with an APPROVED Approval Status will still be deleted by this job if their Graduand Status is POTENTIAL.

The recommendation is to run this job after Ceremonies have been held, as one of the last tasks in a Ceremony Round cycle.

New Graduand records for the same Award can be created for these students in subsequent Ceremony Rounds. These will be created automatically through running GRDJ3100, as long as their expected completion period has been updated to match one associated with a subsequent round.

This job accesses Graduand records created by GRDJ3100. Graduand Statuses can be assigned by running GRDJ3140.

Select the required Ceremony Round as the job parameter. Note that this process deletes records from the database, so the Ceremony Round selected should normally be one which has been completed.
