This report is run to identify students who may have multiple Person ID records

Run Details

This report should be run immediately after any process that creates a set of new Person ID's. For example: the VTAC load of new students.

Refer to the Job Control and Scheduling Subsystem for details of scheduling and running batch and online jobs.

Rule/Notes:

 

Callista defaults the Last Person ID parameter. This ensures that each time the report is run the System checks all new IDs against all other records in the database. The default Last Person ID parameter can be changed if for any reason it is necessary to broaden or narrow the scope of the report.

The report will only check a new person with Person ID being greater than the Last Person ID (default 9999999999) entered, against all other records in the database. Person ID 9999999999 is the largest Person ID number on the system and therefore no records found.

If you want to run a report for a particular person, enter the Person ID one less than the Person ID you want to run the report for.

Rules/Notes:

The report is presented in landscape mode.

The report identifies three types of records:

  • Exact Matches - where the Surname, Given Names, Date Of Birth and Sex details of a new person record are identical to those of an existing record.
  • Partial Match - where the Surname, Date Of Birth and Sex details of a new person record are the same as those of an existing record, but Given Names are different.
  • Partial Match - where the Given Names, Date Of Birth and Sex details of a new person record are the same as those of an existing record, but the Surname is different.

It is recommended that any output of the report be further investigated prior to making any decision to merge Person IDs.
