The purpose of this function is to automatically Allocate Students to Non-repeating Mandatory Activities (for example, lectures that have only one offering) defined for their Unit Offering Option. A non-repeating activity is identified by the existence of only one Activity Offering for a Unit Offering Option activity (for example, Activity Code). This will enable the display of Non-repeating Activities on personalised timetables and will assist with identification of activity clashes.

The Exception Report will show Exceptions that are encountered when Allocating Students to Activities.

 

The Bulk Allocation of Students to Activities block contains:

  • Unit Version Owning Org Unit
  • Unit Version Teaching Org Unit
  • Sector
  • Unit Version
  • Unit Location
  • Unit Class
  • Activity Type
  • Allow Exceed Published limit check box

More Tab

  • No clashes allowed check box

OR

Allow Clashes With

  • All non-repeating mandatory activities check box
  • All non-repeating optional activities check box
  • All repeating activities check box
  • All activities check box

Rule/Notes:

 

To Allocate a Student to Non-Repeating Mandatory Activities:

  • User will start on the PARAMETERS tab
  • Enter the Teaching Period from the LOV (this is the only mandatory field)
  • If applicable, enter information into the other fields via selecting from their corresponding LOVs
  • Tick the Allow Exceed Published box, if the user wants to exceed the published limit of the unit. For example, this will allow for more students to be allocated to this unit.
  • Select the MORE tab
  • Tick either the:
    • No Clashes Allowed
    • All Non-Repeating Mandatory Activities
    • All Non-Repeating Optional Activities
    • All Repeating Activities
    • All Activities
  • Run job

Rules/Notes:

Can not select 'No clashes allowed' check box with a Clashes allowed check box.

Can not select any of the 'All non-repeating mandatory activities', 'All non-repeating optional activities' and 'All repeating activities' check boxes at the same time.

Can not select 'All activities' check box with any of the other clash check boxes.

Students will not be allocated to an activity that is a part of a group regardless of overrides.

At least one clash check box must be checked.
