Purpose

The purpose of this function is to enable staff to perform Activity Group Allocations on behalf of students.

Enrolments

The purpose of this function is to allow staff to perform Activity Group allocation on behalf of students. For example, this can be due to students not being able to allocate themselves to Activity Groups, or staff wanting to change existing Allocations to Activity Groups.

This function will enable staff to perform the following within the context of a Unit Offering option:

• Allocate an individual student to an Activity Group,
• Remove an individual student from an Activity Group,
• Transfer an individual student from an allocated Activity Group to another Activity Group,
• Allocate a group of students to an Activity Group,
• Remove a group of students from an Activity Group, and
• Transfer a group of students from an allocated Activity Group to another Activity Group.

A staff member has the authority to perform the following overrides:

• Allow the Allocation of a student to an Activity Group, that will result in the Activity Group and/or Activity Offering real limit to be exceeded (i.e. overload the Activity Group or the Activity Offering),
• Allow the Allocation of a student to an Activity Group where an Activity Offering within the Activity Group results in an activity clash for the student.
• Allow the remove of students from an Activity Group that contain non-repeating Mandatory activities.

Staff Override details, including the Staff Member ID, the Date of the override, and details about which overrides were performed, will be written to the Student Unit Attempt Activity Offering table when overrides are performed.

The Unit Offering Option block contains:

• Unit Code
• Version
• Academic Period
• Teaching Period
• Location
• Unit Class
• Sector

Activity Group Selection 1 block contains:

• Select check box
• Real Limit
• Published Limit
• Actual Places

Activity Group Selection 2 block contains the same as above.

Rules/Notes:

• Enter Unit Code, and Teaching Period. You can either enter the Teaching Period manually or select it from the LOV.
• Select the desired Activity Group Record in the Activity Group Selection 1 block, by ticking the corresponding check box.
• Select the Activity Group Record in the Selection 2 block, that you want the Students from the Activity Group Record selected in the Selection 1 block to be moved to.
• Click the Move button to move the selected group from one block to another.
• If you want to override any of the preset limits, click the Override button.
• Select the groups to be moved, by ticking the corresponding check box, and click the appropriate Move Arrow button.
• Click Back to return to the original ENRF4250 screen.
• Click the appropriate Activity Offerings button to view the offerings within the group selected in the corresponding selection block.

Rules/Notes:

Cannot retrieve records while Unit Code or Teaching Period is blank.

Activity Group selections 1 and 2 cannot be the same.

At least one student must be selected before the transfer process is activated.
